Job Description
SALARY:
$42,045.81($20.21/hourly)SUMMARY :
This is skilled clerical and administrative work in the Sheriff's Department. Duties involve establishing and maintaining critical law enforcement or administration records. Work involves extensive contact with other county employees, attorneys, businesses, other county and state agencies and the general public. Work requires a proficiency in typing, data entry and/or bookkeeping, and basic knowledge of public information. Work is varied and diverse in nature and requires independent judgment in completing and coordinating assignments. This classification has no supervisory responsibilities although an employee may serve as a lead worker in his/her work unit.ESSENTIAL DUTIES AND RESPONSIBILITIES
Job duties listed below vary with each employee based on individual duties and assignments:Records Management:
Review, code, enter, and update departmental documents, incident reports, citations, or legal files into databases. Purge or archive old data following state retention schedules. (Records/Civil/Warrants)Public Information & Open Records:
Process and fulfill requests under the Georgia Open Records Act, which involves determining document confidentiality, redacting restricted information, and coordinating data delivery. (Records ONLY) §Public Information/Warrant & Civil Papers:
Maintains records for warrants, subpoenas and civil papers in the department's records system. Duties include entering information into computer, sorting, filing and stamping records; validating and verifying active records; submitting eligible records for entry into GCIC computer system; forwarding legal papers for service; and mailing certified copies of records to other county and state agencies. (Warrants/Civil ONLY)Customer Service:
Greet visitors, answer non-emergency telephone calls, assist the general public or outside agencies, and process cash/card payments for civil papers, subpoenas, warrants, some fines, reports, or open records requests. (Varies-Records/Civil/Warrants)Specialized Compliance:
For law enforcement roles, interface with databases like the Georgia Crime Information Center (GCIC) and NCIC to run background checks, validate warrants, or log criminal history data. (Records/Civil/Warrants) May perform job duties for other employees on a substitution basis.QUALIFICATION REQUIREMENTS

High school diploma or general education degree (GED). 6 months to 2 years of general office, clerical, or records management experience. Law enforcement roles often require 1 to 3 years of specialized clerical background. An equivalent combination of education and experience may be considered.ELIGIBILITY REQUIREMENTS
Must be 18 years of age or older.CERTIFICATES, LICENSES, REGISTRATIONS
Possess and maintain a valid Georgia Driver's License (Class C) and a satisfactory motor vehicle record (MVR) if assigned to drive a county vehicle. Ability to pass a thorough background check/fingerprinting; and often the ability to obtain GCIC/NCIC or Notary Public certification.KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of or the ability to learn the department's policies and procedures. Knowledge of modern office practices, procedures and office equipment. Knowledge of personal computers and data-entry procedures. Knowledge of basic procedures in purchasing, bookkeeping or records management, if assigned to these work areas. Proficiency with computers and office software (word processors, spreadsheets); typing speed typically between 35 to 40 words per minute; strong attention to detail and communication skills. Skill in maintaining accurate and complete records. Ability to read a variety of documents ranging from correspondence and forms to standard technical or legal documents. Ability to write short correspondence. Ability to apply commonsense understanding to carry out detailed instructions. Ability to explain established policies and/or procedures to employees or the general public. Ability to communicate and interact with other county employees and the general public in a professional and courteous manner. Ability to organize and plan work. Ability to understand and follow oral and written instructions.PHYSICAL DEMANDS
