About Trinity Acupuncture Trinity Acupuncture is an established healthcare practice that has served the South Bay since 2009. We are a small practice that provides individualized, holistic care through acupuncture, herbal medicine, Pilates, clinical massage, and patient education. We are looking for a warm, dependable, highly detail-oriented Front Desk Associate who takes pride in accuracy, follow-through, and doing things correctly the first time. Our front desk is an important part of the patient experience. We are looking for someone who genuinely cares about making people feel welcomed and well cared for while also keeping the office organized and running smoothly. This position is best suited for someone who enjoys working in a smaller, close-knit environment where people know one another, help each other, and take pride in doing their jobs well. We value kindness and compassion, while also maintaining professionalism, appropriate boundaries, accountability, and a strong work ethic. Reliability is extremely important to us. We are looking for someone who shows up consistently, follows through, pays attention to the small details, and can be trusted to take ownership of their responsibilities. Responsibilities Welcome patients with a calm, caring, and professional demeanor Answer phone calls, emails, messages, and patient questions throughout the day Schedule and manage appointments accurately using our EHR system Complete patient data entry and maintain accurate records Ensure new patients complete required forms before their appointments Maintain patient privacy and follow HIPAA requirements at all times Collect and process patient payments and maintain accurate payment records Manage the patient waiting list and follow up when appointments become available Prepare statements, superbills, and other documentation as needed Communicate clearly with practitioners and other Front Desk Associates to keep the office running smoothly Keep accurate notes, communicate outstanding items to other team members, and follow through until tasks are completed Prioritize responsibilities and work independently without requiring constant supervision Help maintain a clean, organized, and welcoming lobby, front desk, and treatment environment Turn over treatment rooms between patients, including disinfecting surfaces and replacing single-use supplies Monitor office and clinical supplies and report when inventory is low Assist patients, practitioners, and coworkers as needed Help troubleshoot basic office equipment or technology issues when necessary Who We're Looking For The right person for our office is: Dependable, punctual, and consistent Highly detail-oriented — notices small discrepancies, keeps accurate records, follows instructions carefully, and reliably closes the loop on tasks Calm and composed, including when the office becomes busy or something unexpected occurs Warm, compassionate, and genuinely enjoys helping people Professional and respectful of appropriate workplace and patient boundaries Organized and able to keep track of multiple responsibilities Proactive and willing to notice what needs to be done rather than always waiting to be asked Comfortable working independently and taking ownership of responsibilities A clear and thoughtful communicator Comfortable with computers, data entry, email, Google Drive, and learning new software Someone who takes pride in doing even small tasks well Interested in becoming a trusted, long-term member of a small team
Qualifications Required:
High school diploma, GED, or equivalent Strong written and verbal English communication skills At least one year of experience in a customer service, administrative, or office setting Strong computer and data-entry skills
Preferred:
Previous administrative or front desk experience Experience in a healthcare-related setting Interest in a stable, long-term position Ability to lift up to 25 pounds Bilingual fluency in Spanish, Korean, or another language is a plus About Our Workplace Trinity Acupuncture is not a large medical office or corporate healthcare environment. Pay:
