Job Description

Job Summary We are seeking a proactive and detail-oriented Acupuncture Office Assistant to join our vibrant healthcare team. In this role, you will be the friendly face and organized backbone of our acupuncture clinic, ensuring smooth daily operations and exceptional patient service. Your energetic approach will help create a welcoming environment where patients feel cared for and supported from their first visit to follow-up appointments. You will handle administrative tasks, coordinate appointments, manage medical records, and support clinical staff with precision and professionalism. This position offers an exciting opportunity to contribute to holistic health care while honing your skills in medical administration and health information management. Duties Greet patients warmly, verify insurance coverage, and assist with intake procedures to ensure a seamless check-in process Schedule appointments efficiently using EMR (Electronic Medical Record) systems such as AcuSimple Verify insurance benefits, process payments, and perform accurate medical collections in compliance with HIPAA regulations Maintain and organize patient records, ensuring all documentation review, CPT coding, ICD-9/10 coding, and care plans are correctly entered into EMR systems Assist with billing procedures including medical billing, ICD coding, and insurance verification Manage phone system with professional phone etiquette, answer inquiries, and coordinate appointment reminders Support front desk operations by filing documents, managing medical records, and ensuring office supplies are stocked for daily clinic needs Collaborate with clinical staff to facilitate smooth patient flow and ensure accurate documentation of treatment plans and progress notes Utilize computer skills to update health information management systems like Eaglesoft or Dentrix as needed for dental or clinic-specific workflows Experience Prior experience working in a medical office or dental clinic environment is highly preferred Familiarity with medical terminology including CPT codes, ICD-9/10 codes, ICD coding standards, and care plan documentation Experience with insurance verification processes for private insurers Strong clerical skills including filing, data entry (10 key typing), and document review in a fast-paced setting Excellent customer service skills with the ability to communicate effectively over the phone and in person Bilingual abilities are a plus to serve diverse patient populations effectively Demonstrated office management skills including appointment scheduling, medical administrative support Proficiency in Microsoft Office Suite (Word, Excel) along with familiarity with health information management software such as AcuSimple is desirable Previous hospital or healthcare facility experience is advantageous but not mandatory Join us as an Acupuncture Office Assistant where your enthusiasm for healthcare administration will make a meaningful difference in patients' wellness journeys!
