This is a full-time position for someone who is confident working with patients, understands orthodontic treatment, and has a strong sales and customer service background . The Treatment Coordinator plays an important role in helping patients and families understand their orthodontic treatment options, feel confident moving forward with care, and successfully begin treatment. The ideal candidate is comfortable discussing treatment costs and financing, overcoming objections, following up with prospective patients, and working toward monthly goals. Key Responsibilities Greet and welcome patients, parents, visitors, and team members in a friendly, professional, and positive manner. Present orthodontic treatment plans and clearly explain recommended procedures, treatment timelines, benefits, and associated costs. Build rapport with patients and parents and create a positive consultation experience. Confidently discuss treatment fees, insurance benefits, payment plans, and financing options. Utilize strong sales and communication skills to help patients understand the value of treatment and move forward with care. Follow up with prospective patients who have not started treatment and re-engage patients who need a re-evaluation. Track consultations and follow-ups to maximize treatment starts. Verify insurance eligibility and benefits. Submit, track, and follow up on insurance pre-estimates. Email consultation letters weekly to patients and referring dentists. Obtain cavity clearances for applicable patients prior to scheduled orthodontic appointments. Coordinate referrals to specialists and follow up on patient care. Assist with marketing and referral efforts to increase consultations and brand awareness. Manage accounts receivable, including claim submissions, payment posting, past-due balance collections, and follow-ups. Answer multiple phone lines and provide excellent customer service. Schedule appointments in person and over the phone. Support the Patient Services Team with patient check-in and check-out as needed. Maintain accurate patient records and documentation. Work closely with the clinical and front office teams to ensure a smooth patient experience. Qualifications & Experience Previous orthodontic or dental office experience required. Previous sales experience required or strongly required. Experience as an Orthodontic Treatment Coordinator is highly required. . Strong understanding of dental/orthodontic insurance and insurance verification. Comfortable discussing treatment fees, financing, and payment options. Confident communicating with patients and parents and handling sales objections. Strong follow-up and relationship-building skills. Excellent verbal and written communication skills. Organized, detail-oriented, and able to manage multiple priorities. Positive, energetic, and team-oriented attitude. Comfortable working in a fast-paced, patient-focused environment. Must have a valid driver's license .
