Medical Assistant and Family Care Coordinator Hours:
Mon OFF, Tues/Wed/Thurs 7a-6p, Fri 7a-5p Reports to:
MA Manager, Practice Manager, Medical Director Status:
At will, non-exempt employee As a Medical Assistant and Family Care Coordinator, you are essential in the coordination of the clinical aspect at the practice. You serve as a liaison between patients and providers to ensure that the clinic's systems are implemented correctly and efficiently to provide high quality (both clinical and patient service) care to patients. You are a member of the team that is aligned with a patient-focused model of care. Your role contributes extensively to an overall positive patient experience, clinic organization, and operations of care. Duties and Responsibilities (Includes, but is not limited to the activities below): Leadership and Team Responsibilities -
  • Demonstrate in the workplace: growing and developing, communicating changes needed and improvement-culture, reliability and commitment, initiative and productivity, service to others, safety and pride.
  • Attends and actively participates in meetings (1-1, huddles, MA/Front meetings, All-Staff meetings, Retreats, and more).
Clinical Duties - Under the direction of a physician, physician assistant, and
Leads/Managers:
  • Assists in the exam room as necessary, including pap smears, IUDs, and minor surgeries.
  • Performs, but not limited to: Preventive Care reviews, Retinal eye exams, Central Blood pressure, venipunctures, injections, urine cultures, rapid strep/rapid flu/covid testing, pregnancy tests, EKGs, PFTs, and ICGs, vital signs (blood pressure, pulse, temperature, respiration, oximetry, peak flows, orthostatic vital signs), immunizations. Also, cross-trains to cover in the Lab when needed.
  • Answers/receives calls for incoming patient needs, and triages calls. Administrative Duties -
  • Cross-trains at the Front Desk, and coverage across the clinic when requested.
  • Regardless of position, follows workflows for scheduling New and Established patient appointments, and taking payments when appropriate.
  • Assists in: prescription pick-up service, pharmaceutical and nutraceutical representatives for office visits/lunches scheduling and getting physician signatures, coordinating patient requests for school/work notes.
  • Maintains Clinical Buckets (personal/coordination bucket, Provider-Staff) - ▪ Addresses medication refill requests (within 3-5 days), ▪ Addresses Patient Cases (within 48-72hours), ▪ Orders and places referrals through insurance, including imaging, diagnostics, and specialty care (within 1 week), ▪ Places prior authorizations for medications and testing if necessary through insurance (within 3-5 days), ▪ Notifies patients of normal/abnormal test results as requested by Provider (within 1-2 days) .
  • Reconciles patient lists, calls and schedules visits to support Clinical Quality Measures.
  • Opens and Closes office: opening/closing doors, turning on/off office lights, address voice messages, clean waiting room throughout the day, clean kitchen/dishes, gather documents for shredding daily to ensure patient privacy.
  • Stocks supplies and forms in exam rooms; cleans assigned rooms, window sills, tables, and countertops. Evaluation
  • Conducts assessment of oneself every 3 months and identifies growth and develop plans in the workplace for: ▪ Individual characteristics and Teamliness, ▪ Chart preparation and documentation pre, during, and post encounter (Chart Check/audit), and ▪ Daily, weekly, and monthly checklist responsibilities.
  • Prepares for an annual evaluation as requested. Qualifications
  • Bachelors degree and/or Certificate in Medical Assisting (Required).
  • 3+ years experience in a medical practice/care setting, primary care-Family Medicine (Preferred)
  • Examination, diagnostic, and treatment room procedures, medical equipment and instruments, and common safety hazards and precaution
  • Maintains professional certification and a current, valid driver's license
