Dental Implant Treatment Coordinator / Patient Care Coordinator Part-Time to Full-Time | 20-40 Hours per Week | Two Locations We are looking for a motivated, personable, organized, and compassionate Dental Implant Treatment Coordinator / Patient Care Coordinator to join our team. This position plays an important role in the patient experience, from the first phone call with a prospective implant patient through their consultation, surgery, and post-operative care. The ideal candidate is someone who is an excellent communicator, genuinely enjoys helping people, can build trust with patients, and is comfortable balancing lead follow-up, appointment scheduling, insurance verification, patient communication, and administrative responsibilities. Primary ResponsibilitiesDental Implant Lead Follow-Up & Scheduling Make outbound calls to prospective dental implant patients and follow up with existing leads. Respond to new leads promptly and professionally. Build rapport and establish trust with prospective patients. Listen carefully to each patient's concerns, goals, fears, and reasons for seeking dental implant treatment. Educate patients about dental implants and All-on-X / full-arch implant procedures . Learn our implant procedures, treatment process, and terminology in order to confidently communicate with prospective patients. Discuss general treatment price ranges and financing/payment options with interested patients. Answer common questions regarding consultations and the implant treatment process. Identify qualified patients and schedule dental implant consultations at either of our two locations. Follow up consistently with patients who have not yet scheduled. Maintain detailed and accurate notes regarding patient conversations and follow-up. Insurance Verification Complete insurance verifications for patients scheduled for dental implant consultations . Obtain and document insurance benefits and relevant coverage information. Review insurance information prior to the patient's consultation. Communicate insurance benefit information to the appropriate team members and, when appropriate, to patients. Maintain accurate documentation in the patient's record. Appointment Confirmation & Patient Communication Confirm upcoming dental implant consultations by phone, text, and/or email. Follow up with patients who have not confirmed their appointments. Help reduce cancellations and no-shows through proactive communication. Answer patient questions and help ensure patients know what to expect before their consultation. Provide a warm, professional, and reassuring patient experience throughout the process. Surgical Patient Coordination Make pre-operative calls to patients scheduled for implant surgery. Review and reinforce appropriate pre-operative instructions provided by the clinical team. Confirm surgical appointments and ensure patients understand their upcoming appointment. Make post-operative follow-up calls to surgical patients. Check in with patients after surgery and communicate any concerns or questions to the appropriate clinical team member. Help patients feel supported and cared for throughout their surgical experience. Document pre- and post-operative communication appropriately. What We're Looking For Excellent verbal and interpersonal communication skills. A natural ability to listen and genuinely understand patient concerns. Warm, compassionate, and non-judgmental personality. Confident speaking with patients about treatment and cost. Comfortable making outbound calls and following up consistently. Strong organizational and time-management skills. Excellent attention to detail. Comfortable discussing money, treatment fees, and insurance benefits in a professional manner. Ability and willingness to learn about dental implants and All-on-X procedures . Ability to explain treatment information clearly without being overly technical. Comfortable working with patients who may be nervous, embarrassed, frustrated, or hesitant about dental treatment. Professional, dependable, positive, and team-oriented attitude. Previous dental, medical, insurance verification, treatment coordination, sales, or call-center experience is a plus. The Right Person for This Position We are looking for someone who understands that this position is about much more than making phone calls and booking appointments. Dental implant patients often have significant concerns about cost, fear, past dental experiences, appearance, pain, and whether treatment will work for them. The right person will take the time to listen, understand what matters to the patient, provide accurate information, and help them feel comfortable taking the next step. Once a patient schedules, this person will continue to be an important point of contact by helping with insurance verification, appointment confirmations, pre-operative communication, and post-operative follow-up. You should be confident without being pushy, persistent without being aggressive, compassionate while still being results-oriented, and highly organized.
