Job Description
Position Overview As our Patient Treatment Coordinator, you play a vital role in embodying our core values — Team First, Respect, Always Yes — while providing exceptional service to our patients. Your primary responsibilities are the patient experience from treatment presentation through procedure day, acting as the patient's single point of contact throughout that journey. This role blends case acceptance, financial coordination, scheduling, and concierge-level communication to ensure no patient falls through the cracks between "yes" and treatment day. The Patient Treatment Coordinator also maintains consistent communication with referring offices to protect the relationship and ensure continuity of care. Your efforts will directly contribute to a respectful, efficient, and team-oriented environment that produces excellent patient care. Key Responsibilities 1. Treatment Presentation & Case Ownership Take ownership of the patient immediately as of treatment plan presentation Review treatment plans with patients to confirm understanding of recommended procedures, sequencing, and expected outcomes Serve as the patient's primary point of contact from presentation day through surgery day Collect necessary consents prior to scheduling 2. Financial Coordination Present treatment costs clearly and walk patients through all payment options Coordinate with financing partners (e.g., CareCredit) to secure approvals Work with billing team to verify insurance benefits and estimate patient out-of-pocket costs where applicable Collect necessary financial agreements prior to scheduling 3. Scheduling Schedule all appointments related to the treatment plan (consults, pre-op, procedure/surgery day, follow-ups) Proactively manage the schedule to minimize gaps and cancellations During downtime, review the unscheduled treatment report and make outbound calls to convert unscheduled treatment into booked appointments 4. Patient Communication & Support Serve as the go-to resource for patient questions regarding their treatment plan, process, and what to expect Provide pre-op and post-op instructions and confirm patient readiness ahead of surgery day Follow up with patients at key milestones to maintain engagement and reduce no-shows/drop-off Deliver a "concierge" level of service — proactive, warm, and reassuring communication at every touchpoint 5. Referral Office Communication Maintain consistent, timely communication with referring offices regarding shared patients' treatment status Provide referring offices with updates on scheduling, treatment progress, and any changes to the plan Act as liaison to ensure alignment between the referring office and the treating practice 6. Case Tracking & Follow-Through Track each patient's status from presentation through surgery day, flagging any stalled cases Maintain accurate notes/records in the practice management system on financial arrangements, scheduling, and communications Report on case acceptance rates and unscheduled treatment as requested by management Required Qualifications Prior experience in a dental, oral surgery, or medical treatment coordination role preferred Familiarity with dental insurance, financing platforms, and treatment planning software Strong interpersonal and phone communication skills; comfortable discussing costs and closing cases Highly organized with the ability to manage multiple patient cases simultaneously Empathetic, patient-focused approach with a sense of urgency around follow-through Ability to work well in a team and manage multiple tasks Key Performance Indicators Case closure rate measured based on presented treatment ultimately collected Case acceptance rate Percentage of unscheduled treatment converted to scheduled appointments Patient show rate for scheduled procedures Patient satisfaction feedback related to coordination experience How you will be supported: 3 week onboarding intensive including technology tutorials and webinars Continued coaching from front-office staff and clinical operations manager Virtual assistants to assist with administrative tasks
