We are a physical therapist owned private practice, located in Bend, OR. We are well respected in the area, known to provide specialized, high-quality care for vestibular (inner ear) conditions. Responsibilities Act as the primary point of contact for patients seeking physical therapy services, providing clear guidance and support throughout their care journey Schedule, confirm, and reschedule appointments efficiently to optimize patient flow and clinic operations Collaborate closely with physical therapists to coordinate treatment plans, ensuring timely delivery of services Maintain accurate patient records, appointment logs, and documentation in compliance with healthcare regulations Communicate proactively with patients regarding appointment reminders, follow-up instructions, and any necessary pre-visit preparations Assist in managing insurance authorizations and verifying patient benefits to facilitate smooth billing processes (training available) Support the clinical team by managing supplies and ensuring a welcoming environment for all patients Requirements Proven experience in healthcare coordination, medical office administration, or related roles preferred Excellent organizational skills with keen attention to detail and ability to multitask effectively Strong communication skills to interact confidently with patients, clinicians, and insurance providers Ability to handle sensitive patient information with confidentiality and professionalism Proficiency in electronic health records (EHR) systems or similar healthcare software is a plus Energetic attitude with a proactive mindset to anticipate needs and solve problems swiftly Trouble-shoot and problem solve inquiries, challenging situations and/or complaints, with the attempt to resolve; escalate to supervisor if needed Clinic cleaning and tidying responsibilities each week Support administrative staff and clinicians with clinic tasks Qualifications and skills required: Must be at least 18 years of age Minimum of High school diploma or equivalent Minimum 2 yrs experience in administrative/reception role, preferably in health care setting Excellent interpersonal and customer service skills; ability to interact with others in a positive, constructive, professional manner Ability and/or experience working with sensitive populations Ability to work independently with general training/supervision and as part of a dynamic team Demonstrated experience with attention to detail and ability to prioritize tasks Fluency with Electronic Health Record systems, HIPAA standards, standard office equipment (fax/scanner, phone applications) and programs such as Chrome/Firefox/Safari, Gmail, Drive, Zoom/Google Meet) Familiarity with Availity, OneHealthPort, Noridian, and/or Evicore a PLUS Ability to multi-task, stay organized, jump efficiently between tasks Experience or interest in marketing assistance a

M-F 9a-2p for training 2-3 weeks (while in training) Graduation to: M-Th 9a-3p, F 9a-2p. Potential for further growth up to Full-Time (35+ hours) & Benefits.
