We're growing, and we're looking for someone special to join us as our Appointment Coordinator — the first voice our patients hear and the steady hand that keeps our schedule running smoothly. The Role This is a front-line, patient-facing position that sits at the heart of how our practice runs. You'll own the phones, keep hygiene appointments full and confirmed, make sure patients feel cared for at every touchpoint — and help our leadership team stay connected to how the practice is performing day to day. What You'll Do Day-to-Day Answer incoming calls with warmth and professionalism — you are the first impression of our practice Confirm and reaffirm hygiene appointments to reduce no-shows and keep providers productive Check out hygiene patients who are treatment-free — smooth, efficient, and personal Audit patient charts to ensure accuracy, insurance is verified, and records are current before each visit Call insurance carriers to obtain detailed benefit breakdowns so patients always know what to expect Enter daily production data into Google Sheets — tracking production by provider, daily collections, no-shows, and cancellations within 48 hours Monitor and work the ASAP/unscheduled list to fill last-minute openings quickly Participate in morning huddles and stay aligned with the clinical team throughout the day What We're Looking For A warm, articulate communicator who genuinely enjoys talking to people Someone organized, reliable, and solution-minded when things get busy Comfortable working in Google Sheets for daily data entry and reporting Experience with Open Dental (preferred) or another dental practice management system Experience with block scheduling concepts in dentistry Solid understanding of dental insurance benefits and verification processes A team player who takes pride in doing their part well Current CPR certification (or willingness to obtain)
