This position plays an important role in helping patients understand their insurance benefits, treatment recommendations, financial responsibilities, and payment options. The ideal candidate has prior experience working in a dental office, communicates confidently and compassionately with patients, and is comfortable discussing treatment costs, insurance coverage, financing, and payment arrangements. This individual will also support the daily activities of the front desk and help create a welcoming, organized, and positive experience for every patient. Key Responsibilities Verify dental insurance eligibility, benefits, limitations, deductibles, and frequency restrictions. Accurately calculate and explain estimated patient financial responsibility. Prepare, present, and review treatment plans with patients. Conduct financial and treatment consultations in a clear, professional, and compassionate manner. Discuss insurance coverage, out-of-pocket expenses, financing programs, and payment options with patients. Submit insurance claims, pre-authorizations, and supporting documentation. Follow up on outstanding, delayed, or denied insurance claims. Review insurance payments and explanations of benefits for accuracy. Collect copayments, deductibles, outstanding balances, and treatment deposits. Assist patients with financing applications and payment arrangements. Schedule and confirm appointments while maintaining an efficient provider schedule. Answer incoming telephone calls, respond to patient questions, and manage front-desk communications. Check patients in and out and maintain accurate demographic, insurance, and financial information. Follow up with patients who have unscheduled or incomplete treatment. Coordinate with dentists, hygienists, assistants, and other team members regarding treatment and scheduling. Maintain patient confidentiality and comply with HIPAA requirements. Provide excellent customer service and help patients feel comfortable discussing sensitive financial matters. Required Qualifications Previous experience in a dental insurance coordinator, treatment coordinator, or dental front-office position. Strong knowledge of dental insurance plans, terminology, claims, pre-authorizations, deductibles, annual maximums, and patient portions. Experience creating and presenting dental treatment plans. Ability to confidently discuss fees, insurance benefits, financing, and payment options. Excellent verbal and written communication skills. Professional, friendly, and patient-focused demeanor. Strong organizational skills and attention to detail. Ability to manage multiple responsibilities in a busy dental-office environment. Experience using dental practice-management software. Basic computer, telephone, email, and data-entry skills. Dependable, punctual, and able to work effectively as part of a team. Preferred Qualifications Experience with the practice's dental software and electronic insurance-claim systems. Knowledge of dental procedure codes and common dental terminology. Experience with insurance aging reports and accounts-receivable follow-up. Experience with third-party patient-financing programs. Bilingual communication skills are a plus.
