Full Job Description Description:
Manages the scheduling and logistics of injection procedures, including coordinating with patients, providers, and facilities. Key responsibilities include scheduling appointments, verifying insurance, obtaining authorizations, and providing pre- and post-procedure instructions to patients. Essential Functions Generate reports for dates of service (DOS) worked on Run daily reports for add-on patients and ensure proper documentation Prepare injections for technicians for scheduled dates of service, along with the expected list of patients Verify patient insurance coverage and eligibility Request prior authorizations from insurance companies for prescriptions and office visits; call in or fax prescriptions to the pharmacy accurately and promptly Follow up with pharmacies to obtain prescription status updates Request and track office visit referrals and authorizations and key into internal system accurately and timely Inform patients of any co-pays related to office visits or pharmacy services. Apply to co-pay assistance foundations when injection costs exceed established amount(s) Submit insurance appeals for denied injection claims and follow up accordingly Create and maintain individual folders for each patient; file all sent and received documents—including fax confirmations—in each patient's folder Scan injection delivery tickets and upload them to the patient's electronic record Enter delivered injections into the inventory management system and safely dispose of expired injections using approved biohazard (red box) procedures Report any damaged or spoiled injections to the pharmacy immediately and assist with managing recall injections and tracking affected lot numbers Answer phone calls and direct inquiries appropriately Schedule and reschedule patient appointments as needed Follow established protocols and procedures for injection requests and pick-up Support technicians with maintaining and updating the inventory template when needed Complete billing-related tasks as assigned by the Billing Department Update general patient information, including changes to insurance, in patient charts Assist the Manager with special projects and administrative tasks as required
Requirements:
Job Specifications Typically has the following skills or abilities One year of experience or equivalent training in a similar role within a medical or Ophthalmology setting Knowledge of medical and ophthalmology terminology Ability to manage multiple tasks and priorities effectively Strong ability to handle and resolve patient complaints professionally and empathetically Organizational skills with demonstrated ability to manage urgent or stressful situations calmly and effectively Ability to communicate professionally and effectively in writing and verbally, with accurate spelling and grammar Bilingual in English and Spanish preferred Proficiency with use of computers and EMR systems is required Interpersonal skills to establish effective relationships with patients and fellow staff Ability to handle sensitive and confidential information and to follow administrative, ethical, and legal requirements for safeguarding patient privacy Must have reliable transportation, as may be required to travel to other locations as needed For roles that are remote (i.e., Work From Home (WFM)) or hybrid (i.e., partial onsite at a VSP location and WFM), must demonstrate a high level of engagement in virtual environments, including maintaining camera presence during meetings to support effective communication and team alignment VSP Vision is an equal opportunity employer and gives consideration for employment to qualified applicants without regard to age, gender, race, color, religion, sex, national origin, disability, or protected veteran status.
