HYGIENE COORDINATOR POSITION SUMMARY
The Hygiene Coordinator supports the efficiency, growth, and organization of the practice's hygiene department. This role is responsible for maintaining a productive hygiene schedule, coordinating patient appointments, reactivating overdue patients, and partnering with the hygiene and dental teams to support continuity of care and an exceptional patient experience.
KEY RESPONSIBILITIES
Manage and optimize the hygiene schedule, including filling cancellations and open appointment opportunities. Monitor overdue and unscheduled hygiene patients and conduct patient reactivation and follow-up. Schedule hygiene recalls, continuing-care appointments, periodontal maintenance, and appropriate follow-up visits. Communicate with patients by phone, text, email, and in person regarding scheduling and recommended follow-up care. Partner with hygienists and dentists to ensure patients receive appropriate follow-up based on clinical recommendations. Help patients understand the importance of maintaining regular preventive care appointments. Support patient retention by ensuring patients are scheduled for their next appropriate hygiene appointment. Coordinate with the front-office team regarding cancellations, schedule changes, patient concerns, and appointment opportunities. Maintain accurate documentation of patient outreach and scheduling activity. Monitor hygiene scheduling trends and communicate opportunities or concerns to the Office Manager. Contribute to a professional, positive, and patient-focused practice environment. Follow all practice policies, HIPAA requirements, OSHA standards, and applicable infection-control procedures.
SUCCESS MEASURES
Performance may be evaluated based on: Hygiene schedule utilization Hygiene reappointment rate Patient retention and reactivation Reduction in overdue hygiene patients Reduction in cancellations/no-shows and schedule gaps Timeliness of patient follow-up Patient experience Effective collaboration with the clinical and administrative teams
QUALIFICATIONS
Previous dental office experience preferred. Experience with hygiene scheduling, recall, patient reactivation, or treatment coordination preferred. Knowledge of dental terminology and basic dental procedures. Strong communication, organization, and follow-through skills. Ability to confidently communicate with patients regarding appointments and recommended care. Comfortable working in a fast-paced dental practice. Strong attention to detail and ability to manage multiple priorities. Experience with dental practice management software preferred.
Requirements:
Education & Qualifications Required Experience No prior dental experience required; prior experience in a clinical or healthcare support role is a plus. Strong organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. Positive, professional communication style with both patients and team members. Required Education High school diploma or equivalent. Required Licensure & Certifications State-required radiography certification (or willingness to obtain upon hire as directed).
Preferred:
Prior experience in a dental office, medical setting, or patient-facing clinical support role. Familiarity with dental charting, hygiene workflows, or practice management software. Demonstrated ability to work collaboratively within a team to maintain schedule efficiency and patient satisfaction.
