ROLE AND PURPOSE
Assist in the efficient operation of The Care Clinic by providing coordination and support of the general day-to-day administrative, clerical and operational tasks related to the successful management of the counseling center.
QUALIFICATIONS
Education/Certification:
High School Diploma
EXPERIENCE
Exhibit positive interpersonal and public relations skills with individuals, teams and groups. Proficiency in all general office skills. Proficiency in software applications such as Microsoft Office (Excel, Windows, Word, PowerPoint). Ability to multi-task and manage critical time constraints.
SPECIAL KNOWLEDGE AND SKILLS
Ability to develop and maintain systems and documentation. Ability to meet established deadlines. Ability to handle multiple tasks and plan and schedule priorities accordingly. Demonstrate excellent oral and written communication. Demonstrate ability to stay calm and focused in dealing with crises. The ability to provide friendly customer service to students, parents and Arlington ISD staff.
MAJOR RESPONSIBILITIES AND DUTIES
Monitor, maintain, and responds to The Care Clinic Email. Maintain scheduling platforms, referral processes and therapists' electronic folders. Work collaboratively with the department's secretary to maintain the clinic's budget. Support therapists with scheduling and required clinic documentation. Manage Front Desk operations and coordination. Manage and maintain therapy supplies.
A. INSTRUCTIONAL MANAGEMENT
Monitor and enhance the clinic's waiting area environment, with an emphasis on safety, privacy, and professionalism, while also implementing proper crisis management strategies when necessary. Assist with the management and maintenance of the clinic's Web page. Prepare data reports and summaries at the end of each counseling cycle. Maintain the clinic flyers, brochures and general information. Assist with coordinating and organizing huddles and professional learnings. Assist campuses and department leaders with questions regarding The Care Clinic. Assist in preparing and presenting information to therapists as needed.
B. SCHOOL/ORGANIZATION CLIMATE
Promote high expectations for performance and positivity when working with Arlington ISD staff, students, parents and therapists. Exhibit honesty, integrity, dependability and a professional attitude in the performance of duties and responsibilities. Demonstrate and reinforce strong commitment to success for all students. Exemplify effective problem-solving methods that are customer-service oriented.
C. SCHOOL/ORGANIZATIONAL IMPROVEMENT
Assist with updating and maintaining all Care Clinic forms, guidelines and procedures. Remain current with policies and guidelines related to The Care Clinic.
D. SCHOOL/COMMUNITY RELATIONS
Establish positive and productive working relationships with campus staff. Adhere to confidentiality. Maintain a high level of integrity and service at all times.
E. PROFESSIONAL GROWTH AND DEVELOPMENT
Seek, accept, and respond to coaching and feedback from supervisor, department team and peers. Exhibit flexibility in the performance of assigned duties.
F. MISCELLANEOUS
