We exist to make quality dentistry accessible to working families — including the many patients who walk through our door without dental insurance. Our team is built on a culture of championing others, encouraging and equipping one another, and operating in calling. Position Summary The Treatment Coordinator is the bridge between the doctor's diagnosis and the patient's decision. You take a patient who has just been told they need treatment and help them understand what it is, what it costs, how they can pay for it, and why waiting will cost them more. You are the reason treatment plans become scheduled appointments instead of unscheduled paperwork. This is a patient-facing, conversation-driven role. Success is measured in case acceptance, not in tasks completed. Key ResponsibilitiesTreatment Presentation & Case Acceptance Conduct private, seated treatment consultations following the doctor's clinical handoff Present treatment plans in plain language, prioritizing by clinical urgency and patient readiness Address cost objections, fear objections, and timing objections without pressure tactics Secure same-day scheduling and same-day financial commitment whenever clinically appropriate Document all consultations, patient decisions, and declined treatment in the patient record Financial Arrangements Explain coverage, deductibles, maximums, and patient portion clearly and accurately before treatment begins Present and enroll patients in the membership plan Coordinate third-party financing applications (CareCredit, Cherry, Sunbit and other approved lenders) and payment plan options Collect patient portions and post payments accurately in accordance with USDP front office SOPs Never quote a fee you have not verified Unscheduled Treatment Recapture Maintain and work the unscheduled treatment report weekly Conduct outbound follow-up calls and text campaigns to patients with diagnosed, unscheduled treatment Track reactivation outcomes and report results in the morning huddle Team & Operations Participate in daily morning huddles; report on scheduled production, case acceptance, and financial holds Partner with the Practice Manager and doctors to identify schedule gaps and fill them from the pending treatment pool Support front office coverage and end-of-day reconciliation as needed Maintain HIPAA compliance and patient confidentiality at all times Required Qualifications 2+ years in a dental practice in a treatment coordinator, financial coordinator, or senior front office role Working knowledge of dental terminology, CDT codes, and common treatment sequencing Demonstrated experience presenting treatment plans and closing financial arrangements Experience verifying and explaining dental insurance benefits (PPO, Medicare, Medicaid/CHIP) Comfortable discussing money directly and without apology Dental practice management software proficiency (Fuse preferred; Revenue Well experience a plus) High school diploma or equivalent Preferred Qualifications Bilingual English/Spanish — strongly preferred. A significant share of our patients prefer Spanish. Experience with in-house membership or discount plans for uninsured patients Experience in a high-volume, walk-in, or retail-embedded practice environment Prior experience with large case presentation (implants, full-arch, ortho)
