Job Description

Lead Dental Treatment Coordinator - Management Growth Track Full-Time | In-Person | Tyler, Texas An established private dental practice is seeking an experienced Lead Dental Treatment Coordinator who is ready to take the next step into team leadership. This individual will be responsible for treatment coordination, patient financial discussions, team accountability, and helping oversee both in-office team members and virtual assistants. This position is designed for an experienced treatment coordinator who has the ability and desire to grow into an office-management role. Advancement will be based on demonstrated leadership, performance, accountability, and the ability to successfully manage daily office operations. Primary Responsibilities Present treatment plans clearly and confidently to patients Explain insurance benefits, estimated patient portions, financing options, and financial arrangements Follow up consistently on unscheduled treatment and help improve case acceptance Collect patient balances and ensure financial agreements are properly documented Monitor the daily schedule for productivity, accuracy, and appropriate patient flow Lead morning huddles and communicate daily priorities to the team Delegate assignments and follow up to ensure tasks are completed correctly and on time Help lead, organize, and monitor the work of in-office team members and virtual assistants Oversee scheduling, confirmations, recalls, insurance verification, billing follow-up, and outstanding claims Monitor incomplete treatment plans, outstanding balances, cancellations, and unfilled appointment times Serve as the primary liaison between the doctor, clinical team, front-office team, and virtual assistants Train and support team members while maintaining accountability to office policies and expectations Help resolve patient concerns professionally and promptly Track important practice numbers and provide regular updates to the doctor/owner Help create an organized, productive, and positive work environment Maintain patient confidentiality and follow all HIPAA requirements Required Experience Three to five years of dental front-office experience is required A minimum of three years of dental treatment-coordinator experience is required Strong experience presenting treatment plans and discussing financial arrangements with patients Working knowledge of dental insurance, eligibility, claims, collections, scheduling, and account balances Experience leading or training team members is strongly preferred Experience working with or supervising virtual assistants is a plus Dentrix experience is strongly preferred Applicants who do not have at least three years of direct dental treatment-coordinator experience will not be considered. Qualifications Strong leadership, organization, communication, and problem-solving skills Confident discussing treatment costs and collecting payments Able to lead professionally and hold team members accountable Proactive and able to identify problems before they affect the schedule or patient experience Able to manage multiple priorities while maintaining attention to detail Dependable, punctual, coachable, and receptive to feedback Comfortable working in a fast-paced environment with a strong sense of urgency Able to communicate effectively with patients, team members, virtual assistants, and the doctor/owner Ideal Candidate The ideal candidate is an experienced dental treatment coordinator and natural leader who does not wait to be told what needs to be done. This person should be comfortable directing a team, following up on incomplete assignments, addressing performance concerns, solving problems, and maintaining high standards. We are looking for someone who wants to grow with the practice and earn additional leadership responsibilities through consistent performance and measurable results. Advancement Opportunity The selected candidate will begin as a Lead Dental Treatment Coordinator and may advance into broader office-management responsibilities after demonstrating success in the following areas: Treatment presentation and case acceptance Collections and financial arrangements Schedule productivity Team leadership and accountability Oversight of virtual assistants Completion of insurance and administrative responsibilities Patient experience and office organization Advancement is based on performance and is not automatic.
