Full-Time Position Overview We are seeking an experienced and highly motivated Dental Treatment Plan Coordinator to join our dental team serving our Arlington, Virginia and Washington, DC locations. The ideal candidate will have a minimum of two years of experience working in a dental practice and strong hands-on experience with Dentrix. This position is responsible for helping patients understand their recommended treatment, coordinating treatment plans, communicating financial information, and helping patients move forward with the care they need. The Treatment Plan Coordinator plays an important role in creating a positive patient experience while supporting the practice's clinical and business goals. Key ResponsibilitiesTreatment Planning & Patient Coordination Present and explain recommended dental treatment plans to patients in a clear, professional, and compassionate manner Review treatment recommendations provided by dentists and explain procedures, timelines, and next steps Help patients understand the importance and benefits of recommended treatment Answer patient questions regarding proposed procedures and treatment plans Coordinate treatment appointments and follow-up visits Follow up with patients who have outstanding or unscheduled treatment Maintain organized records of treatment plans and patient communication Work closely with doctors and clinical team members to ensure treatment plans are accurately communicated Insurance & Financial Coordination Review treatment plans and provide patients with accurate financial estimates Verify dental insurance benefits and eligibility Explain insurance coverage, deductibles, co-insurance, annual maximums, waiting periods, and other relevant benefits Assist patients in understanding their estimated out-of-pocket costs Discuss available payment options and financing when applicable Assist with insurance pre-authorizations and pre-determinations Follow up on outstanding insurance-related treatment information Work with the billing and front-office teams to ensure accurate financial communication Patient Communication & Follow-Up Build strong relationships with patients and provide exceptional customer service Conduct treatment follow-up calls, emails, and other patient outreach Follow up with patients who have not scheduled recommended treatment Help patients overcome barriers to scheduling and accepting necessary treatment Communicate professionally and confidently with patients regarding treatment and financial considerations Maintain patient confidentiality and comply with HIPAA regulations Dentrix & Administrative Responsibilities Utilize Dentrix for treatment planning, scheduling, documentation, patient records, and other practice-management functions Accurately document treatment plans and patient interactions in Dentrix Maintain accurate patient information and treatment records Coordinate with scheduling and clinical teams to ensure treatment plans are properly entered and scheduled Generate and review reports as needed Maintain organized documentation and follow established office procedures Required Qualifications Minimum of 2 years of experience working in a dental practice Previous experience specifically coordinating or presenting dental treatment plans strongly preferred Hands-on experience using Dentrix is required Strong understanding of dental procedures and terminology Experience with dental insurance and benefit verification Strong understanding of treatment estimates and patient financial responsibility Excellent verbal and written communication skills Strong organizational and time-management skills Ability to manage multiple patients and priorities in a fast-paced dental environment Professional, confident, and personable demeanor Strong attention to detail Ability to work effectively with dentists, hygienists, assistants, front-office staff, and patients Ideal Candidate The ideal candidate is an experienced dental professional who is comfortable having detailed conversations with patients about their treatment needs and financial responsibilities. You should be confident explaining dental procedures in an easy-to-understand way, comfortable discussing treatment costs, and skilled at helping patients feel informed and comfortable moving forward with their recommended care. We are looking for someone who is organized, dependable, personable, detail-oriented, and able to work collaboratively with both the clinical and administrative teams. What You Will Do Help patients understand their dental treatment options Present treatment plans and associated costs Coordinate treatment from recommendation through scheduling Follow up with patients regarding unscheduled treatment Verify insurance benefits and assist with financial estimates Document treatment plans and patient interactions in Dentrix Communicate closely with doctors and the clinical team Provide an exceptional patient experience Help ensure patients receive the care recommended by their dental provider Schedule & Locations This is a full-time position supporting two dental practice locations: Arlington, Virginia Washington, DC The successful candidate must be comfortable working between both locations as needed. Experience Requirement At least 2 years of dental practice experience is required. Hands-on Dentrix experience is required. Candidates without dental practice experience and Dentrix experience will not meet the requirements for this position.
