Overview We are seeking an energetic, empathetic, and highly organized Orthodontic Treatment Coordinator (TC) to join our growing team. The TC serves as the primary liaison between the doctor and the patient during the initial consultation and throughout the start of their treatment journey. This sales-focused position requires an individual who can educate patients on their treatment options, present financial arrangements clearly, and cultivate strong, trusting relationships to ensure a seamless and positive patient experience from the very first visit.
Conduct comprehensive consultations with new patients, clearly explaining the orthodontist's prescribed treatment plan, procedures, and expected outcomes.
Treatment Plan Presentation & Sales:
Effectively present treatment costs and financial options, handle objections, and encourage patients to start treatment the same day whenever possible.
Financial & Insurance Coordination:
Prepare and review financial contracts, obtain necessary signatures, manage down payments, and coordinate insurance benefits and coverage with patients.
Documentation & Administration:
Ensure all patient documentation, contracts, and clinical records (including photos, X-rays, and scans) are accurate, complete, and communicated correctly.
Patient Advocacy & Support:
Act as a patient advocate, ensuring all questions regarding treatment, insurance, and payment are answered, fostering a supportive environment.
Scheduling & Follow-up:
Coordinate appointments, manage pending reports, and follow up with potential patients to ensure a full schedule and achieve target conversion rates.
Team Collaboration:
Collaborate with the clinical and administrative teams to ensure a smooth patient journey and assist with general office duties or local marketing events as needed.
Qualifications & Skills Experience:
PREFERRED
- Minimum of 2+ years of experience as a treatment coordinator or similar role in an orthodontic practice Strong knowledge of orthodontic procedures, terminology, and insurance verification processes.
Skills:
Exceptional communication, presentation, and "sales" skills with a strong customer service mindset. High level of empathy and an ability to put yourself in the patient's shoes, building rapport and trust. Strong organizational skills and attention to detail, especially when handling financial information and contracts. Computer literacy and experience with dental/orthodontic software (e.g., Cloud9 software experience is a plus).
