Job Description
Front office administrator/ manager Lake Washington Physical Therapy Kenmore is a busy, energetic, fun, family oriented, outpatient manual therapy physical therapy clinic in the heart of Kenmore next to Stoup Brewery, Diva Coffee and the US Post Office. We opened in July of 2019. We are looking for a front office administrator/ care coordinator who is passionate about helping physical therapy patients navigate the health care system and enhance their opportunity for a great PT outcome. We strongly emphasize and value patient interaction and customer service. We are looking for an individual who would like to be a part of a team of 3 front office administrators who enjoys the challenge of maximizing the efficiency and organization of a small medical front office, having fun, greeting patients, and working closely with our team of PT's . Our front office adminstrators work closely with the front office manager and clinic owner/ director, billing specialists and staff PT's in a collective and collaborative way. Our clinic schedules patients on a 45-minute model. We see approximately 450-500 patients per week. This is a full time position, Monday thru Friday 10:30-7:00pm, 40 hours per week.
Requirements:
Prior medical front desk coordinator, administration experience is a plus Bachelor's degree preferred; Associates degrees considered People oriented, enjoys people interaction Strong organization, multi-tasking skills, task oriented Strong computer skillsJob Compensation Package:
Competitive salary, please inquire for details Full benefits (401K with 4% match, medical/ dental/ HSA) PTO accrued 80 hours/ year + 8 paid holidays (64 hours) Front Office Patient Care Coordinator Roles and Characteristics Patient intake and new evaluation scheduling. Warm, encouraging, patient intake phone conversations. Welcoming, greeting, friendly and knowing pts by name each time they enter clinic, excitement communicated and/ or inferred that they have chosen us for their care Excellent multi - tasker. Handling interruptions by phone, PT questions, patients at front desk. Able to manage 2-3 patients queued up waiting to speak to you Skilled with scanning documents, assigning them to the correct folders, emailing when needed Faxing documents to medical providers and lawyers as needed, printing and mailing. Secure payment from the law office for print and mailing costs, documenting paper trail of money paid and when received Skilled with MS Word, Excel or Google Sheets/ Docs Able to verify, explain and understand/ communicate pt's insurance coverage and their nuances to them clearly Understand insurance pre-authorization processes and be able to submit authorization requests (Evicore, Evolent, Government plans (Tri-West, Tri-Care, WA state L and I) etc and be able to help track and report to PT's Track authorizations, date ranges, visits in a spread sheet and communicate to PT when approaching limits of that authorization Filling out and getting Evicore/LNI paperwork to the PT in timely manner, coordinating with claim managers Managing when patient has progress notes and outcome questionnaires are due, further loading them for the PT to complete in a timely manner Calling for New Referrals and help manage PT's schedules so they stay full Manage Reach patient intake forms for new patient charts, insure they are emailed to new patients before 1st appointment Be able to annually assist in completion of a Medicare Audit to ensure compliance Have an understanding of PT specialties offered at our clinic and ensuring appropriate scheduling with the right PT at intake Communication to patients schedule changes and updatesJob Type:
