This position plays an important role in both the patient experience and the success of our practice. The ideal candidate is confident discussing treatment plans and finances with patients, advanced understanding of dental insurance, and is proactive about keeping the schedule full. Our Treatment Coordinator will guide patients from treatment planning through scheduling, helping them understand their estimated costs, insurance benefits, and available financing options. Responsibilities Complete insurance verification and obtain detailed benefit information prior to patient appointments Prepare and present accurate treatment estimates to patients Clearly explain insurance benefits, estimated patient portions, and financial policies Discuss treatment plans and help patients understand the financial aspects of recommended care Assist patients with third-party financing options and applications when needed Submit insurance pre-determinations and follow up on outstanding requests Schedule treatment and coordinate appointments according to provider and practice scheduling guidelines Proactively follow up with patients who have unscheduled or outstanding treatment Maintain an organized follow-up system to ensure treatment opportunities are not lost Take ownership of keeping provider schedules full and productive by identifying openings and contacting patients Monitor upcoming schedules and address cancellations, openings, and scheduling needs Answer incoming phone calls and assist patients with scheduling, insurance, financial, and general questions Communicate professionally with patients, insurance companies, providers, and other members of the dental team Maintain accurate patient records, treatment notes, insurance information, and financial documentation Provide excellent customer service throughout the patient's experience with the practice What We're Looking For The ideal candidate is someone who is proactive rather than reactive. You should be comfortable identifying holes in the schedule, following up with patients, and taking initiative to help keep the achedule running efficiently.
Qualified candidates should have:
Previous dental front-office or treatment coordination experience preferred Strong knowledge of dental insurance, benefits, deductibles, maximums, frequencies, and limitations Experience presenting treatment plans and financial estimates Confidence discussing costs and financing with patients Strong scheduling and organizational skills Excellent phone and interpersonal communication skills Ability to multitask and prioritize in a busy dental environment Strong attention to detail Ability to follow through consistently on outstanding treatment and insurance matters A professional, compassionate, and patient-focused approach Ability to work collaboratively while independently managing assigned responsibilities What Success Looks Like in This Position A successful Treatment Coordinator ensures patients leave with a clear understanding of their treatment, estimated financial responsibility, and next steps. Insurance information is verified and accurate, pre-determinations are submitted promptly, patients with outstanding treatment are consistently followed up with, and scheduling opportunities are actively managed to help maintain full and productive provider schedules.
