The Clinical Operations Specialist has ownership and management accountabilities for DialCare's network of clinicians, ensuring seamless onboarding, ongoing support, and operational excellence. This role supports clinician engagement, maintains accurate provider records, ensures network coverage, and contributes to quality assurance and performance improvement initiatives. This role provides operational and administrative support and does include clinical supervision of licensed providers, which remains under the direction of the Medical Director. This is a Hybrid work environment with three days per week minimum worked onsite, two days from home; 9:00 a.m. to 6 p.m. with rotating on call hours.
Required Experience/Qualifications:
3 to 5 years of experience as Licensed Vocational Nurse (LVN) with an active license Demonstrated experience with process improvement, data analysis, or operational ownership Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) Experience with phone-based support and provider interactionPreferred Experience:
Additional healthcare or administrative training Prior experience in telemedicine, healthcare, dental, or behavioral health environmentsSKILLS:
Strong verbal and written communication skills with the ability to interact effectively with clinicians and cross-functional teams Excellent organizational and time management skills with the ability to handle multiple priorities simultaneously High level of attention to detail and accuracy Self-motivated with the ability to work independently and within a collaborative team environment Adaptability and willingness to cross-train to support overall team objectivesEXPECTED WORK AND PERFORMANCE
Clinician Support & Relations Own and manage clinician lifecycle processes end-to-end, including onboarding, activation, engagement, and offboarding Design, implement, and continuously improve clinician workflows to enhance operational efficiency and provider experience Identify operational gaps and develop scalable solutions to support network growth and performance Database & Compliance Management Maintain and regularly audit the clinician database, including licensure, availability, banking information, and consult history. Ensure all clinician documentation meets organizational and regulatory standards. Maintain and distribute training materials, policies, and procedures to clinicians. Operations & Network Management Monitor clinician coverage and availability to ensure adequate network support across all states and shifts. Partner with the recruitment team to identify and address gaps in clinician coverage. Generate and distribute monthly operational and financial reports to support clinician compensation processes. Quality Assurance & Performance Improvement Review Clinical documentation for administrative completeness, timeliness, and adherence to organizational documentation standards; escalate clinical concerns to the Medical Director. Track quality indicators, incidents, and trends; support development of corrective action plans in collaboration with Medical Director. Assist in performance improvement initiatives and coordinate & distribute provider education aligned with quality standards developed by clinical leadership. Additional Responsibilities Participate in departmental projects and support cross-functional initiatives as needed.
