Compensation Starting pay is $20.00 per hour for candidates with limited direct experience. We recognize the value of specialized experience. Candidates with significant California Workers' Compensation experience may qualify for a higher starting rate, with compensation adjusted accordingly based on their level of experience, knowledge, and qualifications. We are a busy and growing medical practice seeking a reliable, professional, highly organized Bilingual Office Assistant / Case Coordinator who is fluent in English and Spanish . This is primarily a California Workers' Compensation practice. Candidates should have an understanding of California Workers' Compensation terminology, processes, and medical-office workflows . Candidates with limited Workers' Compensation experience may be considered if they have relevant medical-office experience and demonstrate a strong ability and willingness to learn. Our practice also treats Personal Injury and Group Health patients , so employees must develop an understanding of the differences between Workers' Compensation, Personal Injury, and traditional Group Health cases and how those differences affect scheduling, authorizations, documentation, communication, benefits, and case follow-up. This is not solely a receptionist position . The role includes patient coordination, administrative responsibilities, medical-office functions, and case management responsibilities. Important - Progressive Training & Job Responsibilities This position is designed around a progressive training model . New employees are not expected to learn every responsibility at once . Training begins with core responsibilities, and additional duties are introduced as the employee demonstrates competency and becomes familiar with the practice. As training progresses, employees will be cross-trained in additional functions that fall within the overall scope of the position, including administrative responsibilities, patient coordination, case management, Workers' Compensation processes, Personal Injury, Group Health, and other practice-related duties. The responsibilities listed below represent the overall scope of the position . Duties may be introduced gradually based on training, competency, workflow needs, and the employee's progression within the role. Being trained in additional responsibilities is a normal part of progressing toward full competency in this position. The introduction of an additional task or responsibility does not, by itself, represent a promotion, change in position, performance review, or automatic increase in compensation. Key Responsibilities Responsibilities may include, but are not limited to: Greet, assist, and check in patients professionally and efficiently Schedule and coordinate patient appointments Answer telephone calls in both English and Spanish Communicate with patients, providers, attorneys, insurance representatives, case managers, and other parties as appropriate Collect and accurately enter patient demographics, medical history, and case information Verify insurance coverage and applicable case information Maintain accurate patient records and documentation Assist with patient intake and checkout processes Coordinate with providers and medical staff to maintain efficient patient flow Perform administrative duties including telephone calls, faxing, emailing, scanning, and document management Translate and interpret between English and Spanish during patient interactions when needed Respond to patient questions and assist with resolving concerns Assist with medical records and documentation requests Perform case management and follow-up responsibilities Track outstanding case-related items and follow through until resolution Assist with Workers' Compensation-related documentation, authorizations, referrals, certifications, and case coordination Understand the EDD and Workers' Compensation benefits processes Understand and appropriately distinguish between Workers' Compensation, Personal Injury, and Group Health workflows Maintain confidentiality and comply with HIPAA requirements Learn additional functions within the department as training progresses Perform other duties within the scope of the position as assigned based on practice needs Required Qualifications Fluent in English and Spanish - required Medical front-office, medical administrative, case coordination, or other relevant healthcare experience Familiarity with or willingness to learn California Workers' Compensation terminology and processes Ability to understand the differences between Workers' Compensation, Personal Injury, and Group Health cases Strong verbal and written communication skills Strong organizational and follow-up skills Ability to accurately document information and maintain detailed records Ability to manage multiple responsibilities in a fast-paced medical environment Ability to work independently while also functioning effectively as part of a team Professional, dependable, compassionate, and detail-oriented Strong problem-solving skills and willingness to take ownership of assigned responsibilities Understanding of HIPAA and patient confidentiality requirements Comfortable learning new responsibilities as training progresses Preferred Qualifications Bachelor's degree Medical Assistant certification or formal Medical Assistant training Previous experience working in a California Workers' Compensation medical practice Strong working knowledge of California Workers' Compensation terminology, benefits, authorizations, referrals, and case processes Experience communicating with attorneys, adjusters, case managers, insurance companies, or other Workers' Compensation stakeholders Previous case management or medical coordination experience Experience with Personal Injury and/or Group Health cases Who Will Be Successful in This Position The successful candidate understands that this is a multi-functional position and is comfortable being progressively cross-trained.
