Job Overview We are seeking a dedicated and bilingual (Chinese-speaking) Front Desk Specialist to join our dynamic Physical Therapy clinic. The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires a professional, organized individual with strong communication skills, a solid understanding of medical office procedures, and the ability to support clinical staff in a fast-paced healthcare environment. The successful candidate will ensure smooth clinic operations, accurate documentation, and compliance with healthcare regulations. Responsibilities Greet and assist patients in a courteous and professional manner, ensuring a positive first impression. Manage patient check-in and check-out processes using Electronic Health Records (EHR) systems such as Epic, Meditech, or eClinicalWorks. Schedule appointments accurately utilizing medical scheduling software and coordinate with clinical staff to optimize daily workflow. Collect and verify patient information, insurance details, and perform medical collection procedures in accordance with HIPAA guidelines. Handle phone inquiries with excellent phone etiquette, providing clear information about services and appointment availability. Maintain accurate medical records, review documentation for completeness, and ensure confidentiality in compliance with clinical confidentiality policies. Assist with billing processes including coding (CPT, ICD-9/10), insurance claims submission, and follow-up on outstanding payments using health information management systems like Athenahealth or Meditech. Support administrative tasks such as filing, data entry (including 10 key typing), and managing electronic health records (EHR) systems to ensure organized recordkeeping. Collaborate with clinical staff to prepare care plans and update patient documentation as needed. Ensure the clinic environment remains clean, organized, and compliant with health and safety standards. Requirements Fluency in both Chinese and English is essential to effectively communicate with diverse patient populations. Prior experience working in a medical office or healthcare setting is highly preferred; experience in dental clinics is a plus. Strong knowledge of medical billing, coding (ICD-10/ICD-9), CPT coding, Medicare procedures, and health insurance policies. Proficiency with EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks; familiarity with electronic health records management is required. Excellent customer service skills coupled with professional phone etiquette and interpersonal communication abilities. Demonstrated clerical skills including filing, typing (including 10 key), and computer literacy within Microsoft Office applications. Understanding of HIPAA regulations and clinical confidentiality policies to safeguard patient information. Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail. Previous experience in medical administrative support or front desk roles within clinics or healthcare facilities is highly desirable.
