Rockville, MDSoftware Guidance & Assistance, Inc., (SGA), is searching for an Enterprise Records Specialist for aCONTRACT
assignment with one of our premier Regulatory clients in Rockville, MD.ResponsibilitiesRecords Classification & Code Management:
- Assist departments in defining and assigning Record Codes for existing, undefined, and new Records to appropriate Record Groups, Record Locations, and corresponding metadata within the ERMA Solution.
- Ensure no duplication in Records Code usage and resolve conflicts with the Enterprise Automated Records Schedule (EARS).
Records Community Training & Support:
- Provide ongoing training and support to current and new Records Community Staff on ERMA Solution functionality and best practices for electronic Records management.
Records Lifecycle Management & Destruction Processing:
- Manage and initiate Records management lifecycles, including initiating and monitoring preliminary destruction lists and workflows, ensuring Legal Holds are properly flagged, and overseeing the ERMA Solution's execution of Records Destruction processes in accordance with approved Records Schedules.
Records Schedule Synchronization:
- Ensure changes to department Records Schedules are accurately and promptly reflected in corresponding systems, including ERMA, to maintain consistency across the Records management ecosystem.
Onboarding & Compliance Verification:
- Support departments with new Record Groups/Codes through the proper onboarding process.
- Verify ERMA usage and adoption by monitoring each department's Preliminary Destruction List generation and utilization.
Cross-Departmental Coordination:
- Facilitate communication and collaboration between departments to ensure coordinated management of shared Records and consistent application of Records management practices across the organization.
