Job Description
We are looking for a detail-oriented Medical Records Clerk/Administrative Assistant to support an organization in Norristown, Pennsylvania. This is a fully onsite Contract position expected to last 6-8 weeks, with the possibility of extension. The person in this role will coordinate medical records activities, provide administrative support, and help maintain accurate electronic health information while assisting daily operations in a fast-paced behavioral health setting.
Responsibilities:
- Guide and support a small medical records team, helping prioritize daily work and maintain consistent service levels.
- Maintain, organize, and process patient documentation within electronic health record systems to ensure records are complete and accessible.
- Respond to insurance-related documentation requests by gathering and preparing the appropriate medical information.
- Handle legal and compliance-related record requests with accuracy, discretion, and attention to confidentiality standards.
- Provide administrative assistance connected to board meeting preparation, including document coordination and related support tasks.
- Review medical record workflows and address issues that could affect timely filing, retrieval, or record accuracy.
- Work closely with internal staff to ensure health information is managed in accordance with organizational and regulatory expectations.
- 3+ years of experience in medical records, health information management, or administrative support within a healthcare or behavioral health environment.
- Prior experience overseeing or coordinating the work of administrative or records staff.
- Working knowledge of electronic medical record platforms, including systems such as Allscripts or Cerner.
- Proficiency with Microsoft Office applications for documentation, communication, and reporting.
- Understanding of patient confidentiality requirements and the careful handling of sensitive medical information.
- Strong organizational skills with the ability to manage multiple requests and deadlines in an onsite setting.
- Ability to obtain and maintain required Pennsylvania state clearances and fingerprinting as needed.
