In this vital role, you will be the cornerstone of efficient surgical operations by managing all aspects of patient scheduling, coordinating with medical staff, and ensuring seamless communication across departments. Your proactive approach will help deliver exceptional patient care and support our mission to provide timely, organized, and compassionate surgical services. This position offers an exciting opportunity to utilize your medical administrative expertise in a fast-paced, rewarding environment. Duties Schedule surgeries and procedures accurately within EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, and eClinicalWorks. Coordinate with physicians, surgeons, anesthesia teams, and support staff to confirm availability and prepare for upcoming surgeries. Review patient documentation including medical records, care plans, and insurance information to ensure all necessary preoperative details are complete. Communicate effectively with patients regarding appointment details, preoperative instructions, and follow-up procedures via phone and electronic messaging. Maintain meticulous records of scheduling changes, cancellations, and rescheduling to ensure real-time updates in EMR/EHR systems. Verify health insurance coverage including Medicare and other payers; facilitate authorization processes and billing procedures aligned with HIPAA regulations. Assist with administrative tasks such as filing medical records, managing phone inquiries with professionalism, and supporting front desk operations to enhance patient service experience. Requirements Proven experience in medical office management or healthcare administrative support with a focus on surgical or clinical scheduling. Strong knowledge of EMR/EHR systems including Epic, Meditech, Athenahealth, eClinicalWorks or similar platforms. Familiarity with medical coding systems such as CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding for accurate documentation review and billing. Excellent computer skills including proficiency in Microsoft Office applications like Word and Excel; typing speed of at least 10 key digits per minute. Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment while maintaining attention to detail. Knowledge of health insurance policies, Medicare guidelines, HIPAA compliance, and clinical confidentiality policies. Bilingual abilities are a plus to serve diverse patient populations effectively. Strong customer service skills with professional phone etiquette and effective communication abilities. Prior clinic or medical office experience is highly preferred; familiarity with health information management is advantageous.
