This vital role combines front desk responsibilities with meticulous records management, ensuring smooth clinic operations and exceptional patient service. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ready to support both administrative functions and clinical documentation processes. This position offers an engaging environment where your organizational skills and healthcare knowledge will make a meaningful impact on patient care and office efficiency. Duties Greet patients and visitors warmly, providing outstanding customer service while managing check-in and check-out procedures. Schedule appointments efficiently using electronic scheduling systems, coordinating with clinical staff to optimize daily workflows. Maintain accurate and complete medical records, including documentation review, filing, and electronic health record (EHR) management using systems such as Epic, Meditech, Athenahealth, or eClinicalWorks. Process medical billing and collections, ensuring compliance with HIPAA regulations and health insurance requirements such as Medicare. Assist with health information management tasks including medical records release, data entry, CPT coding, ICD-9/10 coding, and documentation review for billing accuracy. Answer phones professionally using proper phone etiquette; handle inquiries related to appointments, insurance, or medical records requests. Support clinical staff by managing care plans documentation, updating patient information in EMR/EHR systems, and performing clerical tasks like filing and 10-key typing. Skills Strong knowledge of medical office procedures including patient service, medical terminology, and health insurance processes. Proficiency in EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks; experience with electronic health records management is highly preferred. Familiarity with medical coding (ICD-9/10, CPT) and billing practices aligned with Medicare and other insurers. Excellent computer skills including Microsoft Office Suite (Word, Excel) for documentation and reporting purposes. Bilingual abilities are a plus to serve diverse patient populations effectively. Prior clinic or medical office experience demonstrating familiarity with healthcare workflows and clinical confidentiality policies. Exceptional organizational skills with attention to detail for accurate record keeping and data entry. Strong communication skills—both verbal and written—and the ability to handle multiple tasks efficiently in a fast-paced environment.
