Telephone Mangement Answer a multi-line telephone system in a timely, courteous, and professional manner. Receive, document, and accurately disseminate messages to the appropriate staff members. Direct telephone calls to the appropriate department or individual. Incoming and Outgoing Mail Receive, sort, and route incoming and outgoing mail. Maintain and operate the postage machine. Sort and distribute inter-office mail. Send and receive faxes and ensure documents are routed appropriately. Greet and Assist Visitors Greet, assist, and direct visitors in a courteous and professional manner. Provide general information and assistance to visitors as needed. Post and update information on bulletin boards. Maintain a clean, organized, and safe reception area. Ensure the reception area remains free of obstructions that could impede traffic flow or create safety concerns. Administrative Support Schedule client intake appointments and maintain accurate appointment information. Enter and update client information in the Child-Plus system. Log, process, and mail client and employment applications following supervisor review. Perform computerized data entry using a variety of computer applications. Track attendance and "In-Kind" contributions. Maintain accurate attendance and Time & Attendance (T&A) records. Provide general administrative support to staff and management. Perform other duties as assigned. Associate Degree and one year experience in general office practices with emphasis on reception, switchboard. Strong computer skills using PC's and variety of software applications, word processing, database & e-mail. Ability to work in a fast paced multi-task environment. Ability to operate a wide variety of office equipment, copier, fax, postage meter, voice mail etc. Strong organizational skills and ability to prioritize workload.
