Job Description
Job Summary We are seeking a dedicated and organized Orthodontic Treatment Coordinator to join our dental practice. The ideal candidate will serve as a vital link between patients and the clinical team, ensuring smooth communication, comprehensive patient education, and efficient treatment planning. This role requires a strong understanding of dental procedures, medical and dental terminology, and excellent patient management skills. The Treatment Coordinator will be responsible for coordinating treatment plans, explaining procedures, and managing patient records while maintaining the highest standards of clinical confidentiality and infection control. Experience with electronic medical records and similar platforms to facilitate seamless documentation for scheduling and financial arrangements. Responsibilities Act as the primary point of contact for patients regarding treatment plans, financial arrangements, and appointment scheduling. Explain dental procedures, treatment options, and post-treatment care clearly to patients to promote understanding and comfort. Utilize patient management software to document patient information accurately and efficiently. Coordinate with the clinical team to ensure timely delivery of treatments such as oral surgery, endodontics, prosthodontics, periodontics and pediatric dentistry services. Assist with documentation including medical history updates and taking dental x-rays and orthodontic records Maintain clinical confidentiality policies in accordance with HIPAA regulations at all times. Manage insurance verifications, pre-authorizations, and financial arrangements for treatments. Support infection prevention management by adhering to dental sterilization procedures, aseptic techniques, and infection control protocols. Educate patients on dental health topics using appropriate dental terminology and medical imaging tools like 3D scanners when necessary. Collaborate with the dental team to ensure compliance with clinical confidentiality policies and healthcare infection prevention standards. Assist in administrative duties such as answering patient inquiries, scheduling appointments, and managing dental records. Requirements Proven experience in a dental setting as a Dental Receptionist, Orthodontic Assistant and/or Treatment Coordinator preferred; familiarity with orthodontic assisting is a plus. Proficiency with computers (typing, creating various documents) and technology; experience with patient management software is highly desirable. Strong knowledge of dental and orthodontic terminology, procedures (including oral surgery, endodontics), and clinical protocols like infection prevention management and sterilization procedures. Understanding of HIPAA regulations and commitment to maintaining patient confidentiality at all times. Ability to communicate effectively with patients of diverse backgrounds while demonstrating empathy and professionalism. Knowledge of medical documentation practices including taking X-rays and orthodontics records management. Familiarity with general dentistry practices as well as specialized fields such as periodontics, prosthodontics and pediatric dentistry is advantageous. Excellent organizational skills with attention to detail; ability to multitask efficiently in a fast-paced environment. Certification or training in infection control or healthcare infection prevention is preferred but not required.
