Job Description

About the Role Our client is looking for a Front Desk & Wellness Coordinator to join their wellness-focused studio and help create an exceptional experience for every client. This is a hands-on, client-facing role that combines front desk operations, customer service, fitness and wellness support, and the operation of non-medical wellness equipment . The ideal candidate is someone who genuinely enjoys helping people, is interested in fitness and wellness, and feels comfortable interacting with clients while keeping the studio running smoothly. You'll be one of the primary faces of the studio, welcoming clients, managing appointments, answering questions, educating clients about wellness services and memberships, and helping clients safely and confidently use services such as whole-body cryotherapy, EMS workouts, red light therapy, and infrared sauna . While our client also offers medical aesthetics services, this position is primarily focused on wellness, fitness, customer experience, and day-to-day studio operations. Key Responsibilities Client Experience & Front Desk Warmly welcome clients and create a friendly, professional, and positive first impression. Manage scheduling, appointment confirmations, check-ins, and check-outs. Answer incoming phone calls, texts, emails, and client questions. Maintain accurate client profiles and appointment information. Process payments and assist with memberships, packages, and purchases. Educate clients about the studio's wellness services, memberships, packages, specials, and promotions. Communicate effectively with the owner and other team members to ensure a seamless client experience. Help maintain a clean, organized, welcoming studio environment. Assist with opening and closing procedures as needed. Wellness & Fitness Services Safely operate and monitor whole-body cryotherapy equipment after completing required training. Train and guide clients through EMS workouts , helping them understand the equipment and follow appropriate protocols. Assist clients with red light therapy and infrared sauna sessions. Explain wellness services, procedures, and safety guidelines clearly and confidently. Monitor clients during wellness sessions and provide a welcoming, supportive experience. Prepare, clean, sanitize, and restock treatment and wellness areas between clients. Follow all established equipment, safety, sanitation, and operating procedures. Become knowledgeable about the studio's wellness offerings so you can confidently answer client questions. Client Education & Studio Growth Help clients understand which wellness services may fit their goals and interests. Educate clients about memberships, packages, loyalty programs, and promotional offers. Follow up with leads, prospective clients, and walk-ins when appropriate. Support membership and package sales through genuine, consultative conversations rather than a hard-sales approach. Help promote studio events, wellness programs, and special offers. Assist with social media content by capturing photos, sharing updates, or helping promote studio activities when needed. Support the overall day-to-day flow of the studio and jump in wherever needed to create a great client experience. What We're Looking For The ideal candidate is friendly, energetic, dependable, and genuinely interested in wellness and fitness . You should enjoy working directly with people and be comfortable balancing customer service, administrative responsibilities, and hands-on wellness services. Requirements 1+ year of experience in a client-facing role such as wellness, fitness, spa, hospitality, retail, customer service, or a similar environment. Genuine interest in fitness, wellness, health, and helping people feel their best . Excellent communication and interpersonal skills. Comfortable interacting with clients in person, over the phone, and through text. Comfortable learning and operating wellness equipment and technology. Tech-savvy and able to quickly learn scheduling, POS, and client management systems. Reliable, trustworthy, professional, and detail-oriented. Ability to multitask and stay organized in a busy studio environment. Comfortable working independently and taking initiative. Ability to assist with opening and closing responsibilities. Willingness to learn and confidently explain the studio's wellness services to clients. Preferred Qualifications Experience in a fitness studio, wellness center, recovery center, spa, hospitality environment, or similar setting. Experience with cryotherapy, EMS, red light therapy, infrared sauna, or other wellness services. Previous sales or membership experience. CPR certification. Medical assistant experience is a plus, but medical aesthetics experience is not required .
