(PPI) is a leading nonprofit provider of specialized mental health services focused on assessment, treatment, and support for individuals involved in the criminal justice system. We are seeking an organized, detail-oriented EHR Quality Coordinato to join our Saint Paul office. This position plays a vital role in supporting our clinical team by managing health information, quality assurance processes, documentation integrity, reporting, and specialized administrative functions. Position Summary This position is responsible for overseeing health information management processes, maintaining the integrity of the electronic health record, supporting quality improvement initiatives, coordinating records management, generating operational reports, and assisting clinicians with documentation and scheduling. This position requires exceptional organizational skills, attention to detail, and a commitment to HIPAA compliance. Primary Responsibilities
  • Manage and maintain the integrity of the electronic health records (EHR), ensuring documentation is complete, accurate, and compliant with organizational policies and HIPAA regulations.
  • Process and coordinate incoming and outgoing records requests, including releases of information and requests from outside agencies.
  • Generate, compile, and distribute clinical, operational, quality assurance, and Product Mix reports.
  • Coordinate and manage client group changes.
  • Maintain and oversee the neuropsychological testing schedule.
  • Process supervision and sponsor requests to add clients to treatment groups.
  • Manage and maintain the Minnesota Department of Corrections (DOC) Portal.
  • Gather, analyze, and compile Quality Assurance (QA) data.
  • Schedule Abel Assessments and coordinate related documentation.
  • Provide administrative support for psychological evaluations and non-insurance psychological services.
  • Serve as a resource to administrative staff regarding intake questions, scheduling procedures, and documentation requirements.
  • Review clinical reports for completeness, consistency, and formatting prior to distribution.
  • Manage client disposition documentation and tracking.
  • Track exit interview documentation.
  • Assist with chart audits and identify documentation deficiencies.
  • Collaborate with clinicians and administrative staff to ensure timely completion of documentation and medical record requirements.
  • Maintain confidentiality of all protected health information (PHI) and ensure compliance with HIPAA and applicable regulations.
  • Assist with additional health information management, quality improvement, and administrative projects as assigned. Clinical Quality Audits & Reporting Conduct and maintain routine audits and reports for the clinical team to support documentation integrity, timely follow-up, quality assurance, and operational oversight, including:
  • Appointment attendance and attendance trends.
  • Releases of Information (ROIs), including completeness and current status.
  • Client account balances requiring clinical team awareness or follow-up.
  • Intake numbers and related intake activity.
  • Clinical assignments and assignment status.
  • Sex testing numbers and related activity.
  • Psychological testing numbers and activity.
  • Cancelled referral information, including tracking and reporting relevant trends.
  • Client demographic information to identify incomplete or outdated records.
  • Client census and active caseload information.
  • Quarterly information summaries, including identification and tracking of incomplete quarterly documentation.
  • Cross-check completed client goals to confirm required documentation has been scanned into the client chart.
  • Discharge reports and related completion tracking.
  • Exit interview information and related reporting. Qualifications
  • Experience in health information management, behavioral health, or healthcare administration preferred.
  • Strong organizational, communication, and time management skills.
  • Experience with EHR systems
  • Advanced in Microsoft Excel
  • Proven ability to utilize AI to streamline processes and improve efficiency
  • Proven ability to initiate projects and communicate with stakeholders
  • Ability to maintain strict confidentiality and comply with HIPAA regulations.
