Job Description

Job Summary Physician-Led Regenerative Medicine | Gilbert, Arizona $22-$25/hour | Full-Time | In Person Be the Pulse of the Practice. We're not looking for someone to sit at a front desk. We're looking for someone who notices. The patient who walks through the door and needs to be acknowledged before they ever have to ask for help. The phone that needs to be answered. The schedule opening that needs attention. The teammate who's falling behind. The small detail in the lobby that doesn't feel quite right. And then does something about it. At Contour Medical, the Practice Experience Coordinator helps set the pace, energy and standard for the entire patient experience. This is a hospitality role inside a physician-led regenerative medicine practice. You'll help patients feel welcomed, confident, informed and cared for—from their first interaction with us through checkout and everything that happens in between. If you've built your career creating exceptional experiences in luxury hospitality, premium retail, concierge service, boutique fitness or another high-touch environment, your experience may be exactly what we're looking for. Medical aesthetics experience is not required. About Contour Medical For more than 20 years, Contour Medical has helped patients approach aging and wellness differently through the connection of Mind Body Muscle Skin . Led by Dr. JD McCoy, our physician-led practice combines regenerative medicine, aesthetics and wellness with personalized care and long-term treatment planning. Many of our patients have trusted our practice for years. They aren't transactions or appointments on a schedule. They're relationships—and every member of our team has a responsibility for protecting that experience. What You'll Own As our Practice Experience Coordinator, you'll help coordinate the flow of the practice from the moment a patient contacts us until well after their appointment.
Your responsibilities will include:
Welcoming every patient with warmth, confidence and genuine hospitality Managing check-in and checkout while keeping the entire patient journey moving Answering phones, texts and patient questions professionally and promptly Coordinating provider schedules and proactively identifying openings, conflicts and opportunities Helping patients understand their next steps and ensuring future appointments are scheduled appropriately Confirming appointments and helping reduce cancellations and unused provider time Following up with patients when communication or additional care is needed Supporting patient re-engagement and schedule-filling efforts when needed Maintaining accurate patient information, scheduling and communication within practice systems Keeping patient-facing areas organized, polished and ready Working closely with providers and teammates to anticipate what is needed next Stepping in when you see something—or someone else's actions—that could negatively affect the patient experience Supporting occasional practice events and schedule adjustments when needed to facilitate patient care You won't be expected to stay inside a narrowly defined lane. If it affects the patient experience, it matters. Humble. Hungry. Smart. Those three qualities matter to us. Humble means you're willing to learn, receive feedback and recognize that no matter how experienced you are, there's always more to understand. Hungry means you don't wait for someone to hand you the next task. You look around, identify what needs attention and take action. Smart means you can read the room. You understand priorities, people and situations—and know when to step in, when to ask and when to solve something yourself. We're looking for someone who understands that accountability isn't about blame. It's about ownership. You'll Probably Thrive Here If You... Genuinely enjoy taking care of people Notice details other people miss Are confident communicating face-to-face and over the phone Can create calm when several things need attention at once Take ownership instead of saying, "That's not my job" Can respectfully step in when you see something compromising the patient experience Are comfortable holding yourself and teammates to a high standard Follow through without needing repeated reminders Understand that being busy and being productive aren't always the same thing Enjoy learning and becoming better at what you do Want to become an important part of a practice rather than simply work another job Value commitment, accountability, relationships, education and stewardship The Experience We're Looking For We're intentionally looking beyond traditional medical front-desk experience.
Strong candidates may come from:
Luxury hotels and resorts Concierge or guest services Private clubs Upscale restaurants and hospitality Premium retail Boutique fitness and wellness Concierge healthcare Plastic surgery, dermatology or medical practices Other high-touch service environments where the customer experience truly matters Experience in medical aesthetics is welcome, but it isn't necessary. If medical aesthetics represents most of your previous experience, we strongly prefer candidates who can demonstrate 2+ years of commitment and growth within the same practice. Systems and medical terminology can be taught. Hospitality, initiative, accountability and genuine care for people are much harder to teach. This Probably Isn't the Right Role If... You're looking for a traditional receptionist position You prefer clearly assigned tasks and waiting for direction You believe your responsibility ends when your individual task is finished You regularly say, "That's not my job" You avoid difficult conversations when something needs to be addressed You prefer your phone or computer screen to interacting with people You need constant supervision to stay productive You see patients primarily as appointments rather than relationships You're looking for your next short-term stop
Compensation & Benefits Starting Pay:
$22-$25/hour , based on relevant experience and demonstrated ability.
Benefits include:
Paid Time Off after 90 days Paid Holidays after 90 days Company healthcare plan participation after 90 days Mountainside Fitness membership after 90 days Employee treatment/product benefits Ongoing professional education Opportunities for continued responsibility and professional growth This is a full-time, in-person position in Gilbert, Arizona. Our schedule is built around patient care. Flexibility to support occasional schedule changes, evenings or practice events is expected when needed to facilitate the patient experience. We Care More About How You Work Than Where You've Worked. You don't need years of aesthetic medicine experience to impress us. Show us that you've committed yourself to an organization, learned its standards, taken ownership beyond your job description and created experiences people remember. We're not simply filling a seat at the front desk. We're looking for someone capable of becoming the Pulse of the Practice.

At the same time, the phone is ringing, a teammate appears overwhelmed, and you notice something in the patient area that isn't up to standard. None of these issues were specifically assigned to you. Walk us through what you would do, in what order, and why. Tell us about a specific time you noticed that something—or someone else's actions—was negatively affecting a customer, guest, patient or team experience. What did you notice, what did you personally do about it, and what was the outcome? Please give us a real example rather than describing what you believe you would do.
