Patient Experience & Front Desk Coordinator - Boutique Med Spa (Confidential) If you love making people feel genuinely cared for, light up when you talk about skin and aesthetics, and want to be the "host" of a boutique med spa instead of just answering phones, this might be your dream role. We are a growing, boutique medical aesthetics practice in the Chino area looking for a warm, driven Patient Experience & Front Desk Coordinator to own the first and last touch of every patient visit. This is the heartbeat of our patient experience, not a generic receptionist job. Who You Are You have at least 1-2 years in a front desk, hospitality, medical office, or high-end customer service role where you juggled phones, scheduling, and in-person guests. Med spa, dermatology, plastic surgery, or aesthetics experience is a strong plus but not required. You naturally make people feel welcome, remembered, and important.
You take ownership:
when you see a problem with scheduling, flow, or communication, you fix it instead of waiting to be told. You're excited by the aesthetics world: injectables, skincare, and helping patients feel more confident. You're comfortable using scheduling software and technology to stay organized. You communicate clearly and kindly over phone, text, and in person. You're organized, detail-oriented, and take pride in accuracy. You handle sensitive patient information with maturity and discretion. You're sales-savvy: you enjoy talking about treatments, packages, and promotions and are comfortable guiding patients toward the best option for them. What You'll Do This is a relational role, not a call center job.
You will:
Greet, check in, and check out patients, creating a warm, elevated first impression every time.
Own the calendar:
scheduling, confirming, and rebooking visits to keep the day running smoothly and the schedule full. Handle all incoming calls, texts, and in-person questions with warmth, professionalism, and urgency. Protect revenue at the front desk: respond quickly to new inquiries, rebook patients before they leave, and help keep show rates and rebook rates high. Support retail and treatment package sales at the front desk by educating patients and making it easy to say yes. Partner closely with the provider to coordinate patient flow so appointments run on time and patients feel cared for, not rushed. Assist with daily administrative and operational tasks that keep the practice running smoothly. In your first 90 days, success looks like: New patient calls and texts answered or returned within minutes, not hours. Most patients leaving with their next visit scheduled. Fewer gaps and no-shows on the schedule due to consistent confirmations and follow-up. How to Apply This is a confidential search.
