The ideal candidate will have a strong understanding of both front-office and back-office clinical operations , with previous experience working as a Medical Assistant or in a similar clinical role. This position is ideal for someone who understands how a medical practice operates from patient check-in through clinical care, billing, and follow-up—and who can lead a team while maintaining a high standard of patient service. The Clinic Manager will work closely with providers and staff to ensure the practice operates efficiently, provides an excellent patient experience, and maintains strong clinical, operational, and financial performance. Key ResponsibilitiesClinic Operations Oversee daily operations of the family medicine clinic. Ensure the clinic is appropriately staffed and operating efficiently. Coordinate front-office and back-office workflows. Identify operational issues and implement solutions to improve efficiency. Develop and maintain effective office policies and procedures. Monitor staff productivity, attendance, performance, and workflow. Assist with staff scheduling and coverage. Coordinate with physicians, advanced practice providers, medical assistants, and administrative staff. Maintain a professional, organized, and patient-centered clinical environment. Front Office Responsibilities Oversee patient registration, check-in/check-out, scheduling, referrals, and patient communication. Ensure accurate collection of copays, deductibles, and other patient balances. Monitor appointment schedules and help minimize cancellations, no-shows, and scheduling gaps. Address patient concerns professionally and promptly. Ensure accurate demographic and insurance information is maintained. Back Office & Clinical Operations Oversee Medical Assistant and clinical support workflows. Ensure exam rooms, supplies, and equipment are properly maintained and stocked. Help ensure clinical staff follow established protocols and workflows. Monitor patient flow and identify opportunities to reduce wait times. Ensure appropriate documentation and communication between clinical and administrative teams. Support compliance with OSHA, HIPAA, infection control, and other applicable healthcare requirements. Billing & Revenue Cycle Have a working knowledge of medical billing, coding, insurance verification, claims, denials, and accounts receivable. Work with billing personnel or outside billing partners to identify and resolve billing issues. Monitor outstanding claims and patient balances. Help identify revenue-cycle problems and opportunities for improvement. Ensure accurate documentation and communication between clinical staff and billing operations. Staff Leadership Lead, motivate, and support clinic employees. Participate in interviewing, hiring, onboarding, training, and performance evaluations. Establish clear expectations and hold staff accountable for performance. Promote teamwork, professionalism, and excellent patient service. Address employee concerns and workplace issues appropriately. Help create a positive, respectful, and productive workplace culture. Required Qualifications At least 2 years of healthcare management or medical office management experience. Experience working in a family medicine, primary care, urgent care, multispecialty, or similar medical practice preferred. Previous Medical Assistant or clinical office experience strongly preferred. Strong understanding of both front-office and back-office medical office operations. Working knowledge of medical billing, coding, insurance verification, claims, and revenue-cycle processes. Knowledge of HIPAA and general healthcare compliance requirements. Strong computer skills and ability to learn and navigate electronic health record (EHR) systems. Excellent organizational and time-management skills. Strong written and verbal communication skills. Ability to manage multiple priorities in a fast-paced clinical environment. Demonstrated ability to lead, train, and hold staff accountable. Professional, dependable, and patient-focused demeanor. Ability to work effectively with physicians, clinical staff, administrative staff, patients, and outside vendors. Preferred Qualifications Certified Medical Assistant (CMA/RMA) or equivalent clinical experience. Previous experience managing a family medicine or primary care practice. Experience with EHR/EMR systems . Experience with medical billing software and practice-management systems. Knowledge of CPT, ICD-10, and basic medical coding principles . Experience with insurance authorizations, referrals, and eligibility verification. Experience managing provider schedules and patient flow. Experience with employee onboarding, training, and performance management. Familiarity with OSHA, HIPAA, infection control, and other healthcare regulatory requirements. Experience monitoring clinic KPIs such as patient volume, no-show rates, collections, accounts receivable, and staff productivity. The ideal candidate is someone who can step into the front office when needed, assist with back-office workflow, troubleshoot billing or insurance issues, support the clinical team, and effectively manage employees. You should be comfortable identifying problems, taking ownership, and finding practical solutions. Strong candidates will have a combination of clinical knowledge, administrative experience, leadership ability, and business awareness .
