Overview Green Horizon, a large-scale cannabis cultivation and production company in Coachella, it is expanding its team. We are seeking dependable, motivated individuals who take pride in their work and want to grow with our company. Role Summary The Facility Coordinator provides administrative and organizational support to the Accounting, Compliance, and Human Resources teams. This position helps maintain accurate records, coordinate documentation, process invoices and purchase orders, support employee onboarding, and assist with regulatory and administrative requirements. The ideal candidate is organized, detail-oriented, dependable, and comfortable handling confidential employee, financial, and compliance-related information in a regulated work environment. Essential Duties & Responsibilities Accounting and Purchasing Support Collect, organize, and submit invoices, receipts, packing slips, and other financial documentation Assist with purchase orders, vendor paperwork, and expense tracking Verify that invoices and supporting documents are complete and properly approved Maintain organized electronic and physical accounting records Help reconcile purchases, deliveries, invoices, and credit-card receipts Communicate with vendors regarding invoices, account information, and missing documentation Assist with routine reporting and other administrative accounting tasks as assigned Track office and facility supply levels and coordinate approved purchases Support inventory counts and documentation when requested Compliance Support Maintain organized compliance records, licenses, certificates, inspection reports, and required postings Assist with document control, including filing, distributing, updating, and archiving approved forms, policies, and standard operating procedures Track document expiration dates, required renewals, inspections, training records, and other compliance deadlines Assist with internal audits, regulatory inspections, and requests for supporting documentation Review administrative records for completeness and report missing or inconsistent information Help maintain visitor logs, contractor records, access documentation, and other required facility records Support the Compliance team with data entry, recordkeeping, and routine reporting Immediately report suspected compliance concerns or documentation discrepancies to management Human Resources Support Assist with employee onboarding and offboarding documentation Help prepare new-hire packets, orientation materials, employee files, identification badges, and access requests Maintain confidential employee records in accordance with company policies and applicable laws Track employee training, certifications, licenses, acknowledgments, and required documentation Assist with scheduling interviews, orientations, training sessions, meetings, and employee events Help collect and submit timekeeping, attendance, payroll, and benefits-related documentation Direct employee questions to the appropriate Human Resources representative Support employee communications and the distribution of company policies, forms, and announcements Assist with maintaining organizational charts, employee contact lists, and other workforce records General Administrative Support Serve as an administrative point of contact for the facility Answer and direct telephone calls, emails, visitors, deliveries, and general inquiries Coordinate meetings, appointments, calendars, conference rooms, and facility events Prepare correspondence, reports, forms, spreadsheets, presentations, and meeting materials Take meeting notes and help track assigned action items Maintain organized electronic and physical filing systems Order and organize office supplies, forms, uniforms, identification badges, and other approved materials Receive, sort, and distribute mail and deliveries Coordinate with department leaders to collect required information and documentation Protect confidential business, employee, financial, and compliance information Perform other administrative duties as assigned Qualifications and Experience High school diploma or equivalent required Associate degree in business administration, accounting, human resources, or a related field preferred One to three years of administrative, office coordination, accounting support, compliance support, or human resources experience preferred Experience working in a regulated cultivation, manufacturing, pharmaceutical, healthcare, or food-production environment is preferred Proficiency with Microsoft Office or Google Workspace, particularly spreadsheets, email, calendars, and word-processing applications Experience with accounting, payroll, HR, document-management, or compliance software is preferred Ability to maintain accurate records and manage multiple deadlines Strong written and verbal communication skills Ability to handle confidential and sensitive information with discretion Must be at least 21 years old Must be able to satisfy all applicable background-screening, licensing, and facility-access requirements Knowledge, Skills, and Abilities Exceptional organization and attention to detail Strong administrative and data-entry skills Ability to prioritize multiple assignments in a fast-paced environment Ability to follow established procedures and identify incomplete or inaccurate documentation Strong follow-through and time-management skills Professional and courteous communication Ability to work independently and collaborate with multiple departments Basic understanding of invoices, purchase orders, expense records, and business documentation Commitment to confidentiality, compliance, accuracy, and professional conduct Physical Requirements and Working Conditions Ability to remain seated and work at a computer for extended periods Ability to stand, walk, bend, reach, and move throughout the facility as needed Ability to lift and carry up to 25 pounds with or without reasonable accommodation Ability to operate standard office equipment Ability to work in areas with varying temperatures, humidity levels, noise, and odors Ability to wear required personal protective equipment when entering designated operational areas Work Schedule This position generally works a full-time weekday schedule. Occasional schedule adjustments may be required to support audits, inspections, employee orientations, payroll deadlines, facility events, or other business needs. Why Join Green Horizon?
