Tuesdays and Thursdays, 9:30 a.m.-4:30 p.m., plus occasional Wednesdays, 9:30 a.m-4:30 p.m.

We are a boutique medical spa in Glendale dedicated to high-quality aesthetic treatments and a warm, polished patient experience. We are seeking a dependable, personable, and organized Patient Coordinator who can confidently manage the front desk, communicate professionally with patients, and help the clinic operate smoothly. As the first point of contact, you will play an important role in each patient's experience—from the initial inquiry through scheduling, arrival, checkout, and follow-up. The right candidate is organized, calm under pressure, comfortable discussing services and scheduling options, and able to take ownership of responsibilities without constant supervision.
What You'll Do:
Welcome patients and create a professional, attentive first impression Manage appointment scheduling, confirmations, rescheduling, and waitlists Respond promptly and professionally to inquiries by phone, text, and email Complete patient check-in, checkout, intake, and payment processes Follow up with prospective and existing patients Educate patients about available services, packages, and promotions within the coordinator's role Support treatment bookings, retail sales, and clinic revenue goals without using high-pressure sales tactics Direct all medical questions and treatment recommendations to a licensed provider Perform opening and closing procedures Maintain an organized and presentable front desk and patient area Assist providers and staff with routine administrative tasks Create daily social media posts-photos or short-form videos Protect patient privacy and follow all clinic policies and procedures Help maintain a smooth and efficient daily workflow
Required Qualifications:
At least 1 year of front-desk or patient-coordination experience in a medical spa, dermatology practice, plastic-surgery practice, or comparable elective medical setting Consistent availability every Tuesday and Thursday from 9:30 a.m. - 4:30 p.m. Ability to work occasional Wednesdays with advance notice Strong spoken and written communication skills Demonstrated reliability, punctuality, and attention to detail Comfort discussing services, packages, and retail products with patients Ability to support bookings and sales without providing medical advice Comfort using Mac computers, scheduling software, email, text-messaging systems, and basic social media platforms Willingness to follow the clinic's uniform, hygiene, privacy, and safety standards (scrubs required, no long nails, neat grooming)
