Job Description

Assisted Living Facility Administrator Position Summary The Assisted Living Facility Administrator is responsible for the overall leadership, operations, regulatory compliance, resident care coordination, financial performance, and staff management of the assisted living community. This role ensures residents receive high-quality, person-centered services in a safe, supportive, and homelike environment while maintaining compliance with all applicable federal, state, and local requirements. Essential Duties and Responsibilities
  • Oversee day-to-day facility operations, including resident services, staffing, admissions, family relations, budgeting, maintenance, and regulatory readiness.
  • Ensure the facility operates in compliance with all licensing requirements, company policies, resident rights, safety standards, and applicable care regulations.
  • Provide leadership, coaching, and accountability to department heads and direct care staff to promote a professional, respectful, and resident-focused culture.
  • Monitor resident care and service delivery to ensure needs are assessed, care plans are followed, and changes in condition are communicated appropriately.
  • Partner with residents, families, physicians, hospice providers, pharmacies, home health agencies, and other community partners to coordinate services and resolve concerns.
  • Recruit, hire, train, supervise, evaluate, and discipline staff in accordance with company policy and applicable employment laws.
  • Maintain appropriate staffing levels and ensure employees complete required orientation, training, certifications, and ongoing education.
  • Manage facility budgets, labor controls, vendor relationships, census development, billing coordination, and other financial operations.
  • Lead quality assurance, risk management, infection control, emergency preparedness, and continuous improvement initiatives.
  • Respond promptly and professionally to resident, family, employee, and regulatory concerns, including complaints, incidents, investigations, and corrective action plans.
  • Promote positive community relations and support marketing, tours, outreach, and referral development to maintain occupancy goals.
  • Ensure accurate and timely documentation, including resident records, personnel files, incident reports, training logs, inspections, and regulatory submissions.
  • Maintain a clean, safe, well-maintained, and welcoming environment for residents, visitors, and staff.
  • Perform other duties as assigned to support resident care, facility operations, and organizational goals. Required Qualifications
  • Associate or Bachelor's degree in healthcare administration, business administration, gerontology, nursing, social services, or a related field preferred.
  • Current Assisted Living Administrator, RCFE Administrator, or other state-required administrator certification/license, as applicable.
  • Minimum of two years of leadership experience in assisted living, senior living, long-term care, healthcare, or a related residential care setting preferred.
  • Knowledge of assisted living operations, resident rights, medication management oversight, staffing practices, regulatory compliance, and quality assurance standards.
  • Strong leadership, communication, problem-solving, organization, and decision-making skills.
  • Ability to manage sensitive resident, family, employee, and regulatory matters with professionalism, discretion, and sound judgment.
  • Proficiency with Microsoft Office, electronic health records, scheduling systems, and other facility-related software.
  • Ability to pass required background checks, health screenings, and any other employment or licensing requirements. Preferred Qualifications
  • Experience managing a licensed assisted living or residential care facility.
  • Experience with dementia care programs, memory care operations, or specialized senior care services.
  • Demonstrated experience with census growth, staff retention, survey readiness, budgeting, and customer service improvement.
  • Knowledge of California Title 22 and Residential Care Facility for the Elderly requirements, if applicable. Work Environment and Physical Requirements
  • Works primarily in an assisted living facility setting with frequent interaction with residents, families, employees, visitors, vendors, and regulatory representatives.
  • Must be able to move throughout the facility, respond to urgent situations, and participate in facility inspections, tours, and resident-related activities.
  • May be required to sit, stand, walk, bend, lift light items, use office equipment, and communicate effectively in person, by phone, and electronically.
  • May be required to work evenings, weekends, holidays, or be on-call based on facility needs.
