WHAT YOU'LL DO
You will be one of the first and most important connections our patients have with our practice. Your responsibilities will include welcoming patients, answering phones and online inquiries, scheduling consultations and treatments, educating patients about our services, following up with prospective and existing patients, helping convert inquiries into appointments, discussing promotions and membership opportunities, recommending skincare products, assisting with checkout and rebooking, maintaining an exceptional front-office experience, and helping us create engaging social media content. Most importantly, you'll help make every patient feel welcomed, valued and excited to return. We believe great aesthetic sales start with listening, educating and building trust . WE'RE ESPECIALLY INTERESTED IF YOU HAVE EXPERIENCE IN

We are seeking a dynamic and compassionate Patient Coordinator and Receptionist to join our healthcare team. In this vital role, you will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks that keep our clinic running smoothly. Your energetic approach and attention to detail will ensure efficient patient flow, accurate documentation, and seamless communication between patients and healthcare providers. Duties Greet patients warmly, verify their appointments, and assist with check-in procedures using Electronic Health Record (EHR) systems such as Epic, Meditech, or Athenahealth Schedule patient appointments efficiently while managing cancellations and follow-ups via medical scheduling software Collect and process payments, including medical collections and insurance co-pays, ensuring compliance with HIPAA and health information management policies Review and update patient records accurately, including documentation review of care plans, CPT coding, ICD-9/ICD-10 coding, and billing information Answer multi-line phone systems with professional phone etiquette; direct calls appropriately and handle patient inquiries promptly Maintain organized medical records and files in accordance with clinical confidentiality policies Assist healthcare providers with administrative support tasks such as data entry, filing, and managing electronic health records (EHR) using systems like eClinicalWorks or Meditech Desired Requirements Aesthetician or related spa or medical front desk experience Strong knowledge of EMR/EHR systems Excellent Verbal and Phone Communicatoin, Interpersonal and customer service skills Understanding of HIPAA regulations and confidentiality policies Competent computer skills including Google Suite or Microsoft Office Suite Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining professionalism and attention to detail Strong communication skills—both verbal and written—and phone etiquette for effective patient interactions Social Media or Aesthetic experience a plus This role is an excellent fit for motivated individuals eager to make a positive impact on patient experiences while developing their career in healthcare administration.
