Patient Services Coordinator-Assessments - Full Time Job Overview We are a well-established mental health practice offering an assortment of counseling and evaluation services. We are currently seeking a dependable, organized, and experienced Patient Services Coordinator to support our patient services team and coordinate referrals for psychological and behavioral health evaluations. The core responsibility of this position is coordinating the referral and scheduling process for evaluation assessments, including ADHD, Autism Spectrum Disorder (ASD), and Bariatric evaluations . This includes prescreening clients, obtaining and organizing necessary paperwork, tracking referrals from initial contact through scheduling, and communicating with patients and providers throughout the process. The ideal candidate is compassionate, detail-oriented, highly organized, and comfortable managing multiple referrals and administrative tasks in a fast-paced environment. This individual will work closely with the Lead Patient Services Coordinator to assist with incoming therapy referrals and provide general administrative support to the practice. This is a full-time, in-office position . Primary ResponsibilitiesEvaluation Referral Coordination Prescreen clients referred for ADHD, ASD, and Bariatric evaluations to determine that necessary information and documentation have been obtained. Communicate with clients regarding evaluation requirements, paperwork, scheduling, and next steps in the referral process. Obtain, review, and organize required referral paperwork and supporting documentation. Track evaluation referrals from initial receipt through completion of the scheduling process. Maintain accurate and up-to-date referral tracking spreadsheets and patient records. Coordinate evaluation appointments and communicate scheduling information to patients and appropriate staff. Follow up with clients regarding outstanding paperwork or information needed to proceed with an evaluation. Maintain confidentiality and adhere to HIPAA guidelines when handling sensitive patient information. Provide clerical assistance to the assessment providers. Collaborates with testing psychologists to gather information from parents, teachers, friends, and other outside sources. This includes communicating clearly with contacts, sending reminders, following up as needed, and quickly learning and using online platforms that collect information for psychological testing. Patient Services Support Answer phones and emails promptly and professionally and return messages in a timely manner. Assist the Lead Patient Services Coordinator with incoming therapy referrals, including collecting information, prescreening prospective patients, and coordinating next steps. Assist with scheduling appointments and other front desk responsibilities as needed. Maintain accurate patient records and referral documentation. Assist with occasional patient payments and minor administrative or billing-related issues. Communicate with patients in a calm, professional, and compassionate manner, including when addressing questions or challenging situations. Administrative & Office Support Assist with maintaining spreadsheets and tracking referral and scheduling data. Assist with inventory tracking for office supply needs for both locations. Help maintain an organized and efficient front office environment. Provide general clerical and administrative support to the patient services team as needed. Work collaboratively with clinical and administrative staff to ensure patients experience a smooth and professional referral process. Job Requirements The ideal candidate will be a skilled, bilingual Spanish-speaking professional who works well in a team environment and enjoys working with diverse members of our community. The following qualifications and attributes are required: Associate's degree minimum. Minimum of 2 years of patient services, healthcare administration, behavioral health, or related experience. Bilingual English/Spanish. Strong organizational skills and exceptional attention to detail. Ability to manage and prioritize multiple referrals and administrative tasks. Excellent verbal and written communication skills. Ability to communicate with patients in a friendly, professional, and compassionate manner. Ability to work collaboratively in a team environment while also working independently. Proficiency with Google Workspace, including Google Docs and Google Sheets. Ability to create and maintain spreadsheets used to track referrals, scheduling, and other patient service metrics. Proficiency with Microsoft Office, including Word and Excel. Knowledge of Zoom or similar video communication platforms. Ability to handle confidential patient information appropriately and maintain HIPAA compliance. Friendly, people-oriented disposition with the ability to handle challenging situations with patience and professionalism. Flexibility, dependability, and willingness to take direction. Strong follow-through and the ability to independently track tasks to completion. Ability to assist with minor medical billing and patient record issues. Ability to work Monday through Friday, 8:45 a.m. - 5:15 p.m. Job Type Full-time, in-office position.
