Most dental offices focus on fixing teeth. We focus on improving overall health, starting with the mouth. Every member of our team helps patients feel cared for as individuals, understand the why behind what we recommend, and move toward optimal health. Position Overview The Patient Care Coordinator is the first voice patients hear and the first face they see. This role sets the tone for every patient relationship, guiding new patients from their first call through onboarding and keeping our hygiene program strong through confirmations, recall follow-up, and insurance verification. The right person makes every patient feel welcomed, informed, and valued. Primary ResponsibilitiesPhones and First Contact Serve as the first person to answer all incoming calls, warmly and promptly. Direct calls and questions to the right team member when needed. New Patient Calls and Onboarding Serve as the main point of contact for all new patient calls. Guide new patients through onboarding, including paperwork, records, and scheduling. Communicate what makes our practice different so new patients arrive understanding our wellness approach. Patient Check-In Own the check-in process so every patient is greeted personally and visits start on time. Keep patient information and paperwork current at each visit. Appointment Confirmation and Recall Confirm upcoming appointments. Follow up on recall and overdue hygiene patients, and track progress toward recall goals. Report regularly on recall and retention numbers. Insurance Verification Verify insurance for hygiene appointments before each visit. Help patients understand their benefits clearly and without jargon. Referral Program and Community Events Manage our internal referral program. Represent the practice at networking and vendor events, held occasionally throughout the year outside of office hours. Additional Responsibilities These are occasional duties, not the main focus of the role: Post patient payments as needed. Present treatment plans as needed. Qualifications Prior dental front office experience required. Working knowledge of insurance verification, ideally for hygiene appointments. Comfortable with practice management software and learning new systems. Clear, warm communicator by phone and in person. Organized and able to track multiple follow-ups without letting patients slip through. Who Thrives in This Role Someone who genuinely enjoys people and takes pride in making others feel at ease. $26.00 - $28.00 per hour
