In person Job Description Join our fast-paced, growing Urology Practice! Tri-Valley Urology Medical Group is seeking an experienced Referral Coordinator to join our team. This position plays an important role in coordinating patient care by managing incoming and outgoing referrals, obtaining authorizations, verifying insurance requirements, and communicating with patients, providers, insurance plans, and outside medical offices. The ideal candidate is highly organized, detail-oriented, comfortable working in a busy multi-physician medical practice, and knowledgeable about HMO/PPO insurance plans, referrals, and authorization requirements. Strong communication and follow-through are essential. Key Responsibilities Process and track incoming and outgoing patient referrals. Obtain and verify insurance authorizations for consultations, follow-up visits, procedures, imaging, and other services as required. Review referrals for completeness and ensure necessary medical records, insurance information, authorization documentation, and supporting clinical information are received. Verify patient insurance eligibility, benefits, medical group/IPA assignment, and referral requirements. Communicate with insurance companies, IPAs, referring physicians, PCP offices, specialists, and patients regarding referral and authorization status. Follow up on pending authorizations and referrals to prevent delays in patient care. Coordinate scheduling once appropriate referrals and authorizations have been received. Notify patients of referral status and provide scheduling or preparation information as needed. Accurately document referral and authorization information in the EMR. Maintain referral work queues and ensure outstanding items are followed through to completion. Identify authorization or referral issues and work proactively to resolve them. Maintain patient confidentiality and comply with all HIPAA requirements. Work closely with front office, back office, surgery scheduling, billing, providers, and management to coordinate patient care. Assist with additional administrative duties as needed to support efficient office operations. Required Qualifications Minimum 1 year of experience with medical referrals and/or authorizations in a physician practice or medical office required. Experience working with HMO and PPO insurance plans, medical groups/IPAs, referrals, and prior authorizations. Knowledge of insurance eligibility, benefits, copays, coinsurance, deductibles, and authorization requirements. Experience using an EMR/EHR system. Strong computer and data-entry skills. Excellent organizational skills and attention to detail. Ability to manage a high-volume workload and prioritize multiple time-sensitive tasks. Strong written and verbal communication skills. Excellent customer service and professional telephone skills. Ability to work independently while also functioning effectively as part of a team. High school diploma or equivalent required. Bilingual in Spanish is required. Urology experience is a plus.
