Job Description

Job Overview We are seeking a dynamic and highly organized TMS (Transcranial Magnetic Stimulation) and Longevity Clinic Office Manager to lead the daily operations of our specialized healthcare practice. This pivotal role combines administrative excellence with clinical support, ensuring seamless clinic functioning, exceptional patient care, and efficient management of all office activities. The ideal candidate will thrive in a fast-paced environment, demonstrate strong leadership skills, and possess comprehensive knowledge of healthcare management systems, medical office procedures, and regulatory compliance. Join us to help elevate our clinic's performance and deliver outstanding health services focused on longevity and wellness. In addition to TMS, we would like to add other wellness modalities including peptides and possibly stem cell. Any experience working in these spaces is welcomed and appreciated. Responsibilities Oversee all administrative functions within the clinic, including scheduling, patient management, and staff coordination to ensure optimal workflow. Manage financial operations such as budgeting, medical billing, coding, and fiscal reporting to maintain financial health and compliance. Supervise healthcare staff including medical assistants, administrative personnel, and clinical team members; foster a collaborative team environment. Ensure adherence to healthcare regulations such as
HIPAA, JCAHO
standards, and state-specific health policies through ongoing compliance monitoring. Utilize EMR (Electronic Medical Records), EHR (Electronic Health Records), and patient management software like Eaglesoft and Dentrix for accurate record keeping and data management. Coordinate with medical providers on clinic operations, patient care protocols, utilization management, and quality assurance initiatives. Maintain inventory control for medical supplies, office equipment, and clinic resources while managing vendor relationships. Lead human resources functions including onboarding new staff, managing performance reviews, and facilitating training programs in medical office management best practices. Contribute to growth of company and assist in marketing efforts Requirements Proven experience in medical office management or healthcare practice management with a strong background in clinical settings. Extensive knowledge of EMR/EHR systems such as Tebra or similar; proficiency in Google Drive systems. Demonstrated supervisory experience managing healthcare teams in fast-paced environments with acute care or managed care exposure preferred. Strong understanding of healthcare regulations including HIPAA compliance, JCAHO standards, and health regulation policies. Excellent fiscal management skills encompassing budgeting, financial reporting, medical billing, and coding practices. Familiarity with medical terminology, medical records management, and patient management software solutions. Exceptional managerial communication skills combined with customer service orientation to support both staff development and patient satisfaction. Ability to handle multiple priorities efficiently while maintaining attention to detail in a regulated healthcare environment.
