Job Description

For thirty-five years, Paul Hobbs Winery has produced wines as meticulously made in the vineyard as they are in the cellar. Paul's unrivaled international experience and pioneering instinct for identifying exceptional vineyards led him to Napa and Sonoma, where he has refined the art of site-specific viticulture and precision winemaking. Our single-vineyard wines are made to express their distinctive origins, fermented with native yeasts, and bottled un-fined and unfiltered. through our endeavor to foster relationships between farmers and winemakers, and our enduring focus on small production, single vineyard pinot noir, chardonnay and cabernet sauvignon, we are artfully crafting the future of winemaking. The Assistant Hospitality Manager manages the planning and coordination of all guest activities to ensure the most memorable experience for each guest of Paul Hobbs Winery. This role supervises all tasting room activities and the team which executes onsite hospitality and ongoing client engagement.
This position reports to:
Hospitality Manager The responsibilities listed below outline the primary duties of the position and are not limited to those listed below: Reservation management: Process all requests for tour and tasting appointments including facilitating special requests and other deviations that might require seeking approval from management. Maintain a focus on authenticity in all communication. Collaborate with guests and hospitality team leadership to curate the best tour and tasting experience for each guest including seated, highly-structured wine tastings, extensive food pairings, vineyard excursions, and winery tours.
Operations assistance:
Assist in daily opening and closing operations procedures as well as other departmental special projects. Update booking activity and visitor traffic analysis reports as directed by hospitality manager. Manage monthly wine inventory and reconciliation. Process and review all hospitality orders for accuracy and fulfillment follow-through. Track and report all shipping issues, account updates and payment errors with each customer. Manage third party direct fulfillment of all hospitality orders/shipments. Monitor order delivery and reach out proactively where orders will not be delivered as expected.
Tasting room supervision:
Oversee daily group assignments/morning meeting as needed, point of sale (POS) activity. Coordinate with team on wine, building supplies and reservation activity as needed. Provide backup for hosts as needed to host tasting experiences.
Special Events:
Collaborating with Hospitality Manager, plan and execute all details for winery events including offsite events in remote locations. Assist Hospitality Manager in planning and execution of company events as needed. Specific qualifications & skills: Proven track record of managing complex availability and scheduling and producing comprehensive analysis of booking activities and results. Experience with crm and retail pos systems. Comprehensive knowledge of wine and the wine industry including its history, making, and evolution. A master of fine wine service (tastings, wine dinners, etc.). Industry certifications (cms, wset, etc.) important. Experience in fine dining food service. Food safety and service certifications required. Record of accomplishment delivering luxury guest experiences resulting in high sales conversion rates. History of achieving individual and team sales goals. Experience with crm and retail pos systems. Able to communicate effectively, efficiently with in person, electronically or via telephone. Outgoing style with demonstrated skills building long-term relationships between a company and its guests. Cheerful, positive considerate, creative, competitive, professional demeanor. Has a 'Plan B'. Ongoing improvement. Anticipates, prepares, adapts, intuitive, relentless.
Basic job requirements:
Minimum 4 year bachelor's degree or equivalent relevant work experience. 2. 2+ years experience in luxury hospitality operations with a prestige brand known for delivering world-class customer experiences at all levels. Ability to lift and carry at least 40 lbs., or a 9.0L case of wine. Proficiency with Microsoft Outlook, Excel, Word, PPT. Flexibility to work weekends and off hours when needed. This position includes a full benefits package including paid time off, paid company holidays, insurance (health, dental, vision) and 401k with company match.
Pay:
$80,000.00 - $90,000.00 per year
