You will work closely with patients, experienced psychiatrists, PMHNPs, and clinical staff to support the delivery of innovative treatments for depression, anxiety, PTSD, OCD, and other mental health conditions. The right person for this role is a compassionate and empathetic individual willing to meet patients where they are in their mental health journey and serve as an ally in their care. This candidate enjoys working with people, is comfortable in a healthcare environment, pays close attention to detail, and can balance administrative responsibilities with compassionate patient care. No prior TMS experience is required. TMS training will be provided for the right candidate.

THE ROLE
The Medical Front Desk Coordinator / TMS Technician plays an important role in the patient experience from the first phone call through treatment completion. This position provides front-office support, patient coordination, administrative assistance, and TMS treatment services under established clinical protocols and provider direction. The successful candidate will be comfortable interacting with patients and families, communicating with healthcare providers and insurance companies, maintaining accurate records, and providing compassionate support to patients receiving
TMS. KEY RESPONSIBILITIES
Patient Coordination & Front Office Serve as a warm, professional first point of contact for patients, prospective patients, families, and visitors. Answer incoming phone calls, emails, and patient inquiries promptly and professionally. Schedule and coordinate patient appointments while maintaining an efficient and accurate clinic calendar. Confirm appointments and assist patients with scheduling questions and logistical needs. Assist patients with completing intake forms, questionnaires, and required documentation. Coordinate communication between patients, providers, TMS technicians, and administrative staff. Help ensure patients understand what to expect before, during, and after their appointments. Maintain a welcoming, organized, and professional front-office environment. Assist with patient check-in and check-out processes. Maintain accurate patient demographic and administrative information in the EHR. Assist with scanning, uploading, filing, and organizing patient documents. Monitor outstanding administrative items and follow up as needed. Assist with insurance verification, prior authorization-related tasks, and other patient coordination activities as assigned. Communicate with insurance companies and other third parties as needed within the scope of the role. Assist with collecting patient payments and communicate financial policies professionally. Maintain patient confidentiality and follow all HIPAA and clinic privacy requirements. TMS Technician Responsibilities Administer TMS treatments according to established clinical protocols and provider direction. Complete required TMS training and competency requirements. Prepare patients for treatment and explain the treatment process in a clear and reassuring manner. Provide compassionate support and reassurance to patients before, during, and after TMS sessions. Monitor patients throughout treatment and promptly communicate any concerns or changes to the appropriate clinical provider. Accurately document TMS treatment sessions in the EHR. Assist with administration of psychiatric rating scales and patient outcome assessments as directed. Prepare and maintain the TMS treatment room and equipment. Follow established equipment cleaning, safety, and operational procedures. Ensure the treatment area is clean, organized, and ready for each patient. Follow established emergency procedures and participate in emergency preparedness training. Communicate effectively with psychiatrists, PMHNPs, clinical staff, and administrative team members regarding patient care. Maintain required TMS training and remain current with clinic protocols and procedures. Clinic & Administrative Support Help keep daily clinic operations organized and running efficiently. Assist with opening and closing procedures as assigned. Monitor basic office and clinical supply needs and notify leadership when supplies need to be reordered. Assist with maintaining an organized patient environment, treatment rooms, and front office. Help identify administrative or workflow issues and bring them to leadership's attention. Support implementation of clinic procedures and workflows. Assist with special administrative projects and other duties as assigned. Contribute to a positive, collaborative, and professional team environment.

MINIMUM EDUCATION
Associate's degree or equivalent. Strong computer and organizational skills. Ability to maintain confidentiality and appropriately handle sensitive patient information. Previous healthcare, medical office, customer service, patient care, or other people-facing experience preferred.
BONUS EDUCATION / EXPERIENCE
Previous experience in a mental health, psychiatric, neurology, or medical setting. Knowledge of TMS therapy. Previous TMS technician experience. Experience working with an EHR. Experience with insurance verification or prior authorization processes. Medical Assistant or CNA experience. Bachelor's degree.
