Patient Access & Scheduling Manager, Full-Time Patient Access & Scheduling Department | Arkansas Valley Regional Medical Center (AVRMC) Join a team that serves as the front door to exceptional patient care. As the Patient Access & Scheduling Manager, you will provide leadership and oversight for patient registration, central scheduling, and switchboard operations while ensuring a positive experience for patients, providers, and staff. At Arkansas Valley Regional Medical Center (AVRMC), we understand that every patient interaction matters. We are seeking an organized, customer-focused, and results-driven leader to oversee our Patient Access and Central Scheduling teams in La Junta. Located just east of the Rocky Mountains, AVRMC proudly serves Southeastern Colorado with high-quality healthcare close to home. Position Summary As the Patient Access & Scheduling Manager, you will be responsible for the day-to-day operations of the Registration Department, Central Scheduling, and Switchboard. This role oversees staff performance, patient registration accuracy, scheduling operations, insurance authorization processes, departmental policies and procedures, budgeting, and customer service initiatives while ensuring efficient and effective patient access services throughout the organization. This is a Full-Time position within our Patient Access & Central Scheduling Department. Key Responsibilities Department Leadership & Operations Oversee daily operations of Patient Access, Central Scheduling, and Switchboard Supervise Patient Access and Central Scheduling staff Conduct interviews, hiring, onboarding, and training of departmental staff Complete 90-day and annual performance evaluations within established timelines Ensure adequate staffing levels to meet departmental needs Serve as a resource for staff regarding patient concerns, complaints, and operational issues Develop, review, and maintain departmental policies and procedures Develop and manage departmental budgets Perform additional duties as assigned by the CFO and Revenue Cycle Director Patient Registration & Access Services Ensure efficient, accurate, and orderly registration of inpatient and outpatient services Maintain a registration accuracy rate of at least 90% Monitor staff performance to ensure accurate collection and entry of patient information Ensure appropriate completion of Conditions of Admission documentation Verify collection of required co-payments and patient financial information Monitor registration quality and implement process improvements as needed Support quality assurance activities related to patient access services Central Scheduling & Authorization Management Obtain information from incoming calls to schedule, reschedule, and cancel appointments Provide patients and physician offices with exam preparation instructions Assist with insurance authorization and pre-certification requirements Verify physician orders against scheduled procedures Monitor no-shows, cancellations, and appointment changes Prepare reminder letters and patient instructions for mailing Maintain and distribute daily preauthorization reports Coordinate scheduling adjustments related to staffing, equipment maintenance, or operational needs Verify appropriate mammography scheduling and preregistration activities Financial & Revenue Cycle Support Monitor payment posting accuracy by admissions staff Ensure all batches are balanced and closed appropriately Support patient financial processes and collections activities Facilitate insurance verification and authorization workflows Generate departmental reports as required Ensure timely submission of quality assurance and operational reports Customer Service & Communication Answer and direct calls professionally and courteously Handle patient, physician, and departmental concerns promptly and effectively Make general and emergency announcements through the facility PA system Promote exceptional customer service and maintain a positive image of AVRMC Foster strong working relationships with patients, providers, and departmental staff Maintain confidentiality of patient and employee information Serve as a liaison between patients, providers, administration, and hospital departments Administrative Support Monitor administrative workflows and identify opportunities for improvement Ensure all departmental procedures are followed consistently Maintain accurate operational records and reports Qualifications Required High School Diploma, GED, or equivalent One (1) year of supervisory or management experience Experience in customer service environments Basic computer skills Strong organizational, problem-solving, and multitasking abilities Ability to communicate effectively both verbally and in writing Ability to maintain strict confidentiality Preferred Previous hospital registration or patient access experience Healthcare scheduling experience Healthcare revenue cycle experience Knowledge of insurance authorization and pre-certification processes Experience with electronic health records (EHR) and scheduling systems Bilingual language skills Why Join AVRMC We offer a supportive work environment where every employee plays an important role in our mission of providing extraordinary care, no matter their schedule.
