Job Description
Schedule Monday through Friday, 7:30 AM to 4:30 PM, with a one-hour lunch. Occasional Saturday coverage may be required when staffing needs arise. About the Position We are seeking an experienced medical office professional to supervise the Patient Access team. This is a hands-on leadership position responsible for the daily performance, staffing, training, workflow, and customer service of our front-office team. The Patient Access Supervisor reports to the Operations Manager and is expected to take ownership of day-to-day operations, coach employees, solve problems, maintain standards, and help keep the office running effectively. This is not an entry-level position. Applicants must have meaningful medical office experience and demonstrated experience leading, training, or supervising employees. Primary Responsibilities Supervise and support Patient Access staff Coordinate daily staffing, assignments, schedules, and front-office workflow Coach employees, provide feedback, and address performance concerns Participate in interviewing, hiring, corrective action, and termination decisions in coordination with the Operations Manager Coordinate onboarding and training for Patient Access employees Monitor staff competency, productivity, quality, and customer-service standards Maintain strong performance in scheduling, patient registration, telephone service, check-in, check-out, and patient communication Ensure employees consistently follow established financial, privacy, and operational policies Resolve patient concerns and difficult interactions professionally Identify workflow problems and implement practical improvements within established policies Help maintain adequate staffing coverage and step into Patient Access workflows when needed Maintain a professional, reliable, and patient-centered front-office environment Required Qualifications At least 3 years of medical office, patient access, front-office, or comparable healthcare administrative experience Demonstrated experience as a supervisor, team lead, trainer, senior staff member, or other role involving responsibility for the work of others Experience with medical scheduling, patient registration, insurance, and front-office workflows Experience using an electronic health record or medical practice-management system Ability to coach employees, provide constructive feedback, and hold staff accountable for established expectations Strong communication, organization, and problem-solving skills Ability to professionally manage conflict and difficult patient interactions Strong attention to detail A work history demonstrating reliability, professionalism, and follow-through Ability to work full-time, in person, in Montrose, Colorado Preferred Qualifications Previous formal supervisory experience in a medical office is preferred. Experience with healthcare financial policies, insurance benefits, EOBs, payment collection, staff training, quality auditing, and eClinicalWorks or a similar EHR is also helpful. Who Will Do Well in This Position The strongest candidate will already understand how a busy medical office functions and will be comfortable taking ownership of the daily operation of a team. You should be able to make routine operational decisions, organize people and workflow, coach employees, enforce established standards, and recognize when an issue needs to be escalated to the Operations Manager. This is a working supervisor role. You should also be willing to answer phones, assist patients, help with scheduling or registration, and step into the workflow when the team needs additional support.
