This is not a traditional front desk position. While this team member will support the patient experience and administrative operations of the practice, the primary focus of the role will be working closely with our doctors as a trusted administrative partner—helping manage communication, follow-up, scheduling needs, patient coordination, and the many details that allow the doctors and clinical team to stay focused on providing exceptional care. We are looking for someone who takes ownership, anticipates needs, communicates professionally, and genuinely enjoys helping both patients and teammates. Our practice has served the community since 1983 and combines modern dentistry with the personal relationships and culture of a family-owned office. We value clear systems, daily team huddles, accountability, professional growth, and creating an experience where patients feel known, comfortable, and cared for. What This Role Looks Like You will serve as an important connection point between our doctors, patients, and the rest of the team.
A typical day may include:
Managing and prioritizing doctor-related administrative tasks Coordinating patient communication on behalf of the doctors Following up with patients after treatment, consultations, or procedures Helping doctors stay organized with outstanding patient needs and follow-up Coordinating referrals and communication with specialists Managing incoming correspondence, records, reports, and other doctor-related documentation Assisting with scheduling and coordination of complex or larger treatment cases Communicating with patients regarding treatment recommendations and next steps Helping ensure important patient questions and concerns reach the appropriate doctor or team member Supporting treatment coordination and case acceptance Assisting with front desk responsibilities when needed Participating in daily team huddles and helping identify opportunities to improve the patient experience Maintaining accurate and timely documentation in the patient record Helping create an organized, calm, and welcoming experience for both patients and the clinical team This role requires someone who can manage multiple priorities while maintaining a high level of professionalism and attention to detail. Who We're Looking For You may be a great fit if you: Are exceptionally organized and detail-oriented Communicate clearly, warmly, and professionally Are comfortable speaking with patients both in person and over the phone Are proactive and naturally look for what needs to be done next Can prioritize competing tasks without losing important details Take ownership of responsibilities and follow through consistently Are comfortable working closely with doctors and managing confidential information Remain calm and professional in a busy environment Enjoy developing relationships with patients Believe excellent customer service is about making people feel genuinely cared for Are open to feedback and interested in continued professional growth Have a team-first mindset and are willing to help wherever needed Previous dental experience is strongly preferred, particularly familiarity with dental terminology, treatment planning, scheduling, and insurance. Experience with Dentrix is a plus. However, we are willing to consider an exceptional candidate from another healthcare, hospitality, executive assistant, or high-level customer service environment who demonstrates outstanding organization, communication, and professionalism. What Success Looks Like The right person in this role will help our doctors stay focused on patient care because they can trust that important administrative details are being handled. Patients will feel that their questions are answered, their concerns are followed up on, and someone is helping guide them through their care. The rest of the team will view this person as dependable, organized, and someone who makes the entire office run more smoothly. We are looking for someone who does not simply complete assigned tasks, but who takes ownership of the patient and doctor experience.
