Skinspirations is an aesthetic and regenerative medical practice with a reputation for both exemplary customer service and results. We are seeking a growth-focused Patient Experience Coordinator who is a self-driven powerhouse and will treat the business as though its success is personally important to them. In addition to managing all front desk duties, this person will be responsible for creating innovative ways to increase client volume, optimizing scheduling to maximize revenue, providing deeply compassionate patient care, and acting as a proud ambassador for our team. We are looking for someone who doesn't simply complete assigned tasks, but notices what needs to be done and takes responsibility for getting it done.

What you will do:
As the Patient Experience Coordinator, you are the center of our team, balancing client-facing responsibilities with business-focused priorities. From scheduling, increasing client engagement and retention, to solving technical problems on your own, you'll play a key role in enhancing every patient experience and helping the practice to thrive. You will not just manage tasks; you will actively hunt for inefficiencies and implement creative solutions completely autonomously. Manage all aspects of patient scheduling and front desk duties to ensure smooth provider flow and maximum daily revenues.

Spot operational bottlenecks early, design effective fixes, and execute them without needing oversight.

Go above and beyond to accommodate unique patient requests, resolving complex issues smoothly while maintaining a warm, human touch. Strictly follow established written guidelines to ensure consistent, compliant practice results. Be a
Skinspirations Brand Ambassador:
Proudly present and discuss the clinical expertise, qualifications, and results produced by our practice to patients, partners, and the community. Coordinate check-in and check-out processes, including payment collection, rewards programs, and rebooking. Encourage the purchase of treatment packages, memberships, rebooking, and referrals to support revenue and client retention. Knowledgeably answer questions about all of our treatments. Organize patient charts, handle all patient records, send and confirm receipt of signed documents, email post-treatment instructions, etc. Collaborate with providers and team members to maintain a positive and seamless patient experience. Contribute your own unique strengths—whether in social media, organization, or client engagement—to expand the impact of your role. Seek client reviews, social media engagement, and referrals to help drive revenue growth. Resolve any guest concerns with professionalism and a solutions-driven approach. Maintain a positive, team-oriented atmosphere that motivates both staff and patients. Help create and organize marketing initiatives, special events, and promotional activities to increase new client acquisition. Assist in maintaining the clean and elegant appearance of the office.
Job Requirements:
Previous experience in a medical practice, concierge/luxury hospitality, luxury retail, executive assistance, or another high-touch customer-service environment is valued. We are equally interested in exceptional candidates whose previous experience demonstrates initiative, judgment, organization, and a genuine commitment to providing an outstanding client experience. A proactive mindset with the ability to prioritize revenue growth and client retention. Complaint resolution and de-escalation training or skills Proven performance in new client acquisition Ability to provide maximum productivity with minimal supervision Excellent grammar and communication skills A positive, upbeat personality. Proficiency with complex scheduling tasks and computer systems. A history of staying in at least one job for more than twelve months within the last 3 years. Benefits after 90 days of satisfactory employment include a 50% matching 401k, profit-sharing and client acquisition bonuses, $350 per month towards personally purchased health insurance, paid holidays, paid time off accrual, and discounts on services.
