At Align PT and Pilates , that voice could be yours. We're looking for a Patient Care Coordinator who brings warmth, organization, attention to detail, and compassion to every interaction. Someone who can keep the day running smoothly, confidently guide patients through scheduling and insurance questions, and help turn new inquiries into patients who are ready to begin care. This is an opportunity to become a foundational part of a growing boutique Physical Therapy and Pilates practice where every patient receives personalized attention and every team member has the opportunity to make a meaningful impact. Why This Role Matters You'll be the first impression and a key part of the patient experience. From the first phone call to scheduling, insurance verification, check-in, follow-up, and ongoing communication, you'll help us deliver a patient experience that feels personal, organized and supportive. Align PT and Pilates is entering an exciting stage of growth. The practice is expanding into a larger space, growing its Physical Therapy and Pilates programs, and building a team to support continued expansion. This means you won't simply be filling an administrative seat. You'll have the opportunity to help build the systems, relationships, and patient experience that support the clinic's next chapter. What You'll Do New Patient Conversions & Scheduling Respond quickly and warmly to incoming calls, inquiries, referrals, and patient questions Convert new patient inquiries into scheduled evaluations Manage patient scheduling and calendar coordination Follow up with prospective patients by phone and email Help maintain a strong, organized schedule that supports plan-of-care completion Communicate scheduling changes clearly with patients and the clinical team Insurance & Financial Coordination Verify insurance eligibility and benefits Assist with prior authorizations and insurance requirements Explain coverage, deductibles, copays, and patient responsibilities clearly and professionally Collect patient payments at check-in and check-out Support billing and collections processes as needed Help patients navigate financial and insurance questions with patience and empathy Patient Care & Front Office Operations Welcome patients and create a friendly, organized check-in and check-out experience Maintain accurate patient information within the EMR Keep electronic patient records complete and organized Monitor the daily schedule and communicate with the clinical team Follow up with patients regarding appointments, cancellations, and outstanding needs Help create a calm, professional, and welcoming clinic environment Practice Growth & Administrative Support Assist with administrative projects that support clinic growth Provide basic marketing and social media support Help organize spreadsheets, documents, and internal systems using Microsoft Office and Google Workspace Use AI tools and technology to improve efficiency and organization Take initiative in identifying opportunities to improve patient communication and clinic workflows Grow into additional responsibilities as the practice and team expand You're a
Great Fit If You:
Have 1-2+ years of healthcare front office, Patient Care Coordinator, or administrative experience Have experience in a Physical Therapy, chiropractic, medical, or other healthcare setting Are comfortable with insurance verification, prior authorizations, scheduling, and patient communication Communicate with warmth, confidence, and professionalism , especially over the phone Are comfortable following up with prospective patients and helping convert inquiries into scheduled appointments Are highly organized and detail-oriented Can manage multiple priorities while maintaining a positive patient experience Are comfortable using Microsoft Word, Excel, PowerPoint, and Google Sheets Have experience with an EMR such as TheraOffice or a similar system Are comfortable learning and using tools such as ChatGPT, Gemini, Copilot, and other AI platforms Enjoy solving problems and improving systems Want to grow with a private practice rather than simply perform the same tasks every day Are empathetic, dependable, and genuinely enjoy helping people Bilingual English/Spanish is a plus, but not required. $20-$22/hour based on experience
Schedule:
Monday through Friday, approximately 8:30 AM-5:00 PM No weekends or major holidays This position is designed as a full-time opportunity , although the right candidate may have the option to begin part-time and ramp into full-time hours. The role may also include a combination of onsite and remote responsibilities , providing additional flexibility as you become established in the position.
