We are looking for a highly organized, polished, energetic, and patient-focused Patient Experience & Practice Coordinator to join our growing team. This individual will play an integral role in supporting our patients, providers, and day-to-day practice operations while ensuring every interaction reflects the high level of service CellDeep is known for. Responsibilities Patient Experience Create a warm, welcoming, and personalized experience for every patient. Communicate with patients via phone, email, text, and patient portal. Schedule, confirm, and coordinate patient appointments. Assist with patient check-in and check-out. Educate patients on appointments, testing, services, programs, and next steps as directed by the clinical team. Follow up with patients regarding scheduling, labs, treatment plans, and outstanding items. Help ensure patients feel informed, supported, and cared for throughout their CellDeep experience. Practice Coordination Support the day-to-day operations of the practice. Maintain accurate patient information and documentation. Coordinate schedules between patients, providers, and team members. Assist with administrative and clerical responsibilities as needed. Maintain a clean, organized, and professional patient-facing environment. Handle sensitive patient information with professionalism and discretion. Identify opportunities to improve the patient experience and overall practice efficiency. Perform additional responsibilities as assigned by leadership. What We're Looking For Exceptional communication and interpersonal skills. Warm, positive, professional, and welcoming personality. Experience Minimum 2 years of experience in a medical office, wellness practice, MedSpa, hospitality, sales, or customer service environment preferred. Previous experience as a medical receptionist, patient coordinator, practice coordinator, or similar position is strongly preferred. Experience working in a luxury, concierge, wellness, or high-touch customer service environment is a plus. Associate's or Bachelor's degree in business administration, healthcare administration, hospitality, or a related field is a plus. Eligibility Requirements Must be at least 18 years of age. Must have unrestricted authorization to work in the United States. Must be willing to complete a background investigation if required. Must maintain professionalism and confidentiality when handling patient information.
