In person About Us Naples Pelvic Health, LLC is a specialized physical therapy clinic in Naples, Florida that helps patients overcome orthopedic and pelvic floor conditions through personalized, high-quality care. We're passionate about helping our patients feel stronger, move better, and reclaim their confidence. Now, we're looking for a Medical Office Receptionist to join our growing team! Job Summary We're seeking a motivated, energetic, people-loving team member to attend to patients on the phone and in person while supporting clinic operations. You'll complete administrative tasks, manage leads, and help the operation of the clinic run smoothly to ensure our patients have a top-tier experience. The person in this position will also complete marketing and outreach tasks as needed. Responsibilities Essential Responsibilities & Communication- Answer incoming calls, texts, emails, inquiries etc. in a timely manner, showing professionalism
- Effectively follow up with missed calls, appointment inquiries, and new patient leads
- Register new patients and update existing patient demographics by collecting detailed patient information including personal and financial information
- Handle objections and questions about the clinic and our treatment, confidently
- Reach out to patients to confirm appointments, intake form completion, re-scheduling, handling cancellations, and booking new evaluations
- Call other healthcare provider offices regarding documents requiring signatures
- Electronic fax documents to healthcare provider offices
- Protect patient confidentiality by adhering to HIPAA guidelines Clinic Support
- Greet all patients in person and over the phone with polite etiquette
- Check patients in for appointments upon arrival, ensure intake paperwork is completed, and scan cards/ID into electronic health system
- Keep clinic organized, clean, and fully stocked daily
- Maintain an inviting waiting room area, ensure cleanliness in waiting room area
- Maintain handouts, product samples, and marketing materials
- Keep medical supplies stocked and monitor inventory; place new supply orders, organize supplies in closets, cabinets, and drawers Marketing & Outreach
- Post, engaging content daily on Instagram and Facebook (posts, stories, polls)
- Coordinate monthly community/marketing engagement workshops and events
- Follow up with potential new patients in a timely manner with different platforms (via phone call, email, facebook messenger, instagram etc.) Qualifications
- Strong communication skills (written and verbal)
- Ability to multitask efficiently
- Ability to be flexible and pivot if necessary
- Experience in digital marketing and/or sales a plus
- Highly organized and detail-oriented
- Comfortable with Canva, social media platforms, and email marketing tools
- Familiarity with Go High Level (CRM) or Jane (EMR) a plus
- Experience in a healthcare setting is a bonus, but not required Required education and experience High School diploma or GED required Customer Service experience Preferred education and experience One-three years as a Medical Receptionist Experience with Electronic Medical Records and Medical Scheduling software Additional eligibility requirements Ability to speak, read and write English.
